Full Job Description

Nu Level Wellness is looking for a friendly, organized, and proactive Administrative Assistant/Patient Schedule Coordinator to join our growing healthcare team.

This role is ideal for someone who enjoys working with people, creating a positive first impression, and helping patients take the next step in their care. You will be an important part of the patient experience, from answering phone calls and greeting patients to helping new leads schedule appointments and supporting daily office operations.

We are looking for someone who is dependable, personable, detail-oriented, and comfortable communicating with patients both over the phone and in person.

What You'll Do

As an Administrative Assistant/Patient Scheduling Coordinator, you will help keep the office running smoothly while making sure patients and prospective patients receive excellent service.

Responsibilities include:

Answer incoming phone calls and assist patients with questions, scheduling, and general support
Greet patients warmly as they arrive for appointments
Help patients schedule, reschedule, and confirm appointments
Make outbound calls to new leads and prospective patients to help them book appointments
Make outbound calls to confirm upcoming appointments with exisiting patients
Update patient information and lead activity in the CRM
Maintain accurate records and notes related to the patient communication
Support front desk operations and help create a welcoming office environment
Communicate clearly with providers and team members regarding scheduling updates
Assist with basic administrative tasks as needed to support daily workflow

What We're Looking For

The ideal canidate is someone who is professional, upbeat, and confident speaking with patients over the phone. You should be organized, comfortable using the computer systems, and able to follow up consistantly with leads and prospects.

Qualifications:

Previous administrative, front desk, scheduling, or customer service experience preferred
Experience in a medical, wellness, dental, or healthcare office is a plus
Strong communication skills and professional phone etiquette
Friendly, welcoming personality and execellent customer service skills
Comfortable making out-bound calls to leads and patients
Organized and detail-oriented with strong follow-through
Comfortable updating CRM systems, patients records, or scheduling software
Ability to manage multiple tasks in a busy office enviorment
Dependable, punctual, and team-oriented
Bilingual abilites are a plus
