Job Summary
We are seeking a professional and organized Receptionist/Administrative Assistant to join our team. This role is vital in maintaining smooth office operations, providing exceptional customer service, and supporting administrative functions. The ideal candidate will be proficient in office management, possess strong communication skills, and have experience with various office software and systems. Bilingual abilities are a plus to assist diverse client needs. This position offers an opportunity to work in a dynamic environment where attention to detail and organizational skills are highly valued. Looking for someone with HR and Credentialling experience if possible. Will train the right candidate.

Responsibilities

Greet visitors and clients at the front desk with professionalism and courtesy
Manage multi-line phone systems, screen calls, and direct inquiries appropriately
Schedule appointments, manage calendars, and coordinate meetings using Google Workspace and Microsoft Office tools
Handle data entry, filing, and document proofreading to ensure accuracy and organization
Maintain office supplies inventory and order as needed
Assist with bookkeeping tasks using QuickBooks or similar accounting software
Provide customer support via phone, email, or in person, ensuring excellent service standards
Support office management tasks including mail handling, record keeping, and administrative support for staff
Perform clerical duties such as typing correspondence, managing files, and updating databases
Uphold professional phone etiquette and ensure timely response to inquiries

Experience

Prior office experience or administrative support roles preferred
Proficiency with Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
Experience with QuickBooks or bookkeeping is a plus
Familiarity with multi-line phone systems and front desk operations
Bilingual abilities are advantageous for communicating with diverse clientele
Strong organizational skills with excellent attention to detail
Effective time management skills to prioritize tasks efficiently
Previous experience in medical or dental receptionist roles is beneficial but not required
Personal assistant or office management experience will be considered an asset

This position is ideal for candidates who are proactive, customer-focused, and capable of managing multiple responsibilities in a fast-paced environment.
