Job Summary

We are seeking an energetic and highly organized Front Desk Receptionist to be the welcoming face of our office. In this vital role, you will manage front desk operations, handle multi-line phone systems, and provide exceptional customer service to visitors and clients. Your technical proficiency with office management software, Microsoft Office suite, and data entry will ensure smooth daily operations. Duties

Greet visitors warmly, ensuring they feel welcomed and attended to promptly.
Manage multi-line phone systems with professionalism, demonstrating excellent phone etiquette and clear communication.
Schedule appointments and coordinate calendar management for staff members using productivity software.
Maintain accurate records through data entry, filing, and proofreading of documents.
Handle incoming correspondence via email and phone, providing customer support and client communication.
Assist with office management tasks such as organizing supplies, managing spreadsheets, and supporting clerical functions.
Use technical tools like QuickBooks for basic bookkeeping tasks when necessary.
Support the team with administrative duties including word processing, document preparation, and calendar updates.
Maintain a tidy reception area and ensure all office equipment is functioning properly.
Provide bilingual support if applicable to assist diverse clients or visitors effectively.

Experience

Prior office experience or administrative support roles preferred; experience as a front desk or medical/dental receptionist is a plus.
Strong computer literacy with proficiency in Microsoft Office (Word, Excel, Outlook), Google Workspace, and productivity software.
Demonstrated skills in data entry, filing, proofreading, and document management.
Experience handling multi-line phone systems and practicing professional phone communication skills.
Knowledge of QuickBooks or bookkeeping experience is advantageous.
Excellent organizational skills with the ability to prioritize tasks efficiently in a busy environment.
Bilingual abilities are highly desirable to facilitate effective client communication across diverse populations.
Personal assistant or office management experience will be considered an asset.
