Adirondack Winery is seeking an energetic, highly organized, sales-minded Events Coordinator to take ownership of our private events business from start to finish. This is a unique position that is truly what you make of it. The Events Coordinator will be responsible for growing private event sales, converting inquiries into bookings, coordinating every detail of booked events, and serving as the primary on-site point person to ensure our clients receive an exceptional experience. Our private events range from weddings, bridal and baby showers, bachelorette parties and birthdays to corporate events, bus groups, reunions, celebrations and more.
Unlike a traditional event coordinator role that begins after an event is booked, this position starts at the very beginning: creating demand and generating leads. The Events Coordinator will market our spaces and packages, develop relationships throughout the region, respond to inquiries, conduct tours and sales meetings, prepare proposals, close bookings, coordinate events, and ultimately execute many of those events personally.
The right person will combine the skills of a marketer, salesperson, event planner, hospitality professional and highly organized project manager.
An interest and knowledge in wine is a plus, but not required, we train! The ability to train and lead a team to work these events with you is key to success! You will be responsible for executing and running all events, with the assistance of both onsite and offsite tasting room and event staff, and must ensure that all internal and external customers receive exemplary customer service and receive a positive event and brand experience.

The Events Coordinator may be required to “chip in” on general tasting room and/or winery work, including, but not limited to, working in any other company departments, or assisting the senior tasting room manager with a variety of activities.
JOB REQUIREMENTS:
Tasting Room Events / Private Events:
- The Events Coordinator will actively market Adirondack Winery as a destination for private events and develop new sources of business rather than relying solely on incoming inquiries.
- The Event Coordinator will respond to incoming event inquiries quickly, professionally, and persistently.
- Responsibilities include communicating confirmed bookings to all appropriate departments; adding events to company calendars and systems; creating and maintaining client/event files; and tracking deposits, payment deadlines, final guest counts, menu selections and other required information.
- Lead event staff to ensure successful execution of all events.
- Conduct planning meetings with clients
- Is responsible for overseeing clients’ needs during the event and making necessary changes or adjustments.
- This position requires excellent administrative discipline. The Events Coordinator will work comprehensively within Asana to manage leads, booked events, tasks, deadlines, communications and follow-up activities.
- The Events Coordinator will also assist with and/or execute on-site public events, such as comedy shows, dueling pianos, book clubs, live entertainment and other winery programming.
Schedule: This is a part-time, year-round position with at least 20 office hours over 3 days plus event coverage. Opportunities for overtime pay will occur as well.
Requirements: A relevant bachelor’s degree and at least 2 years of event planning experience with some employee supervision experience preferred, but equivalent experience accepted. Proficiency with Microsoft Outlook, Word and Excel; strong computer and technology skills; excellent written and verbal communication; strong organizational and project-management skills; comfort using social media for business purposes; ability to learn and work fluently within Asana; and the ability to manage multiple events, clients, deadlines and priorities simultaneously.Responsible and trustworthy money handling skills are required. Wine knowledge is preferred but will train the right candidate. Reliable transportation and the ability to work on your feet for several hours at a time and lift 50lbs is a must.
