Provides primary administrative and clerical support to department staff, ensuring accurate coordination, documentation, and maintenance of foster care case files in compliance with DCFS, COA, and agency standards. This position serves as the first point of contact for the building by answering phones, greeting visitors, and supporting daily office operations. The role requires strong organizational skills, attention to detail, effective communication, and the ability to manage multiple tasks in a fast-paced environment. Employees are expected to uphold confidentiality, demonstrate professionalism, and contribute to a safe, respectful, and positive work environment while adhering to all federal, state, and accreditation requirements and agency policies.
Key Responsibilities – Receptionist/File Clerk
- Provide administrative support to department staff, including filing, copying, scanning, and general office assistance.
- Maintain accurate foster care and case files in compliance with DCFS and COA standards.
- Serve as receptionist by answering phones, greeting visitors, and directing inquiries.
- Receive, record, and distribute information in a timely and confidential manner.
- Schedule rooms, distribute mail, and order DCFS forms as needed.
- Track closed files and coordinate submission to DCFS storage.
- Complete drug screenings and maintain related documentation.
- Maintain a clean, organized, and professional reception and office environment.

Skill Based Qualifications
- High school diploma or GED required
- Strong organizational and time-management skills with excellent attention to detail
- Proficiency in Microsoft Windows applications, excel and standard office equipment.
- Effective verbal and written communication skills with a professional demeanor.
- Ability to manage confidential information and maintain accurate records.
- Ability to prioritize tasks, adapt to frequent interruptions, and work effectively in a team environment.
