Full Job Description

Position Summary

Malden Catholic High School seeks a highly organized, customer-focused, and detail-oriented Summer Programs and Rental Property Coordinator to oversee the planning, coordination, and successful operation of the school's summer programs and campus facility rentals. This position serves as the primary point of contact for summer enrichment programs, athletic camps and clinics, and facility renters while ensuring exceptional customer service and efficient use of school resources.

The coordinator collaborates closely with admissions, academic administration, athletics, facilities, finance, security, and external partners to maximize campus utilization while maintaining the school's mission, safety standards, and operational excellence. Malden Catholic would like to offer a variety of predominately summer academic opportunities and student programs, making effective coordination of these activities essential.

Essential Responsibilities

Summer Programs

Work closely with Admissions and Athletics to design programs for students from grades 1-8 for a full day, half day opportunities as well as weekend and evening clinics and standalone classes.
Coordinate all operational aspects of Malden Catholic's summer academic, athletic, and enrichment programs.
Serve as the primary liaison for program directors, instructors, students, parents, and external vendors.
Manage program registration logistics, scheduling, classroom and facility assignments.
Coordinate staffing needs, facility access, technology, custodial support, and security requirements.
Assist Communications Department with data for marketing materials, program communications, and participant information.
Monitor enrollment and maintain accurate program records.
Assist with Admissions as a steward for school enrollment.
Prepare reports on program participation, revenue, and operational effectiveness.
Ensure compliance with school policies, safety procedures, and applicable regulations.

Facility Rentals

Help the Facilities Director manage the school's facility rental program for classrooms, athletic facilities, auditoriums, meeting spaces, and other campus venues.
Respond promptly to rental inquiries and provide excellent customer service.
Prepare rental agreements, pricing estimates, invoices, and required documentation.
Coordinate event logistics with facilities, security, custodial, and technology departments.
Conduct facility walkthroughs with prospective renters.
Maintain the master calendar to prevent scheduling conflicts between school events and rentals.
Ensure renters comply with school policies, insurance requirements, and facility usage guidelines.
Inspect facilities before and after events and coordinate follow-up as needed.

Administrative Responsibilities

Process contracts, deposits, invoices, and payments in coordination with the Finance Office.
Track budgets and prepare periodic operational reports.
Develop and improve procedures that enhance operational efficiency and customer experience.
Assist with special events and other duties as assigned.

Qualifications

Bachelor's degree preferred in Business Administration, Education, Event Management, Hospitality, or a related field.
Three or more years of experience in program coordination, event management, facility scheduling, school administration, or related work is preferred.
Strong organizational and project management skills.
Excellent written, verbal, and interpersonal communication abilities.
Outstanding customer service skills.
Ability to manage multiple priorities while meeting deadlines.
Proficiency with Microsoft Office and scheduling or event management software.
Experience with registration systems and database management preferred.
Ability to work independently and collaboratively.
Evening and weekend availability as required during summer programming and rental events.

Work Schedule

This is a full-time, year-round administrative position. The workload increases significantly during the summer months and may require evening and weekend hours to support programs and facility rentals.
