POSITION OVERVIEW

The Listing & Client Care Coordinator is a critical, high-impact role on our team. You

will have full ownership of the home listing process from start to finish, while

simultaneously serving as the white-glove client care resource for our luxury sellers

throughout their entire experience. You are the face of our organization— the liaison

between clients, agents, and vendors — and the reason our sellers feel supported

every step of the way.

This is a full-time, in-office position in Winchester, MA.

SCOPE OF RESPONSIBILITY

Listing Coordinator

● Own the complete seller listing process from initial contact to executed

contract, ensuring agents are free to focus on helping more clients

● Manage all MLS listings — enter and maintain listing data, upload photos,

update status changes, and syndicate to online platforms

● Prepare listing appointment materials including Comparative Market Analysis

(CMA), market data, and listing presentation collateral

● Coordinate all property preparation logistics: schedule and attend vendor

appointments (photographers, stagers, contractors, painters, inspectors, etc.)

and keep all timelines on track and coordinate with sellers and team

consistently.

● Create and maintain listing packets, brochures, floor plans, and all related

collateral for all listings

● Organize open house and broker tour schedules; attend as needed

● Oversee all marketing and promotional initiatives for each listing — digital,

print, and social media — to maximize property exposure and or work along

side others team members to collaborate.

● Track all listing opportunities and maintain accurate records

Client Care Coordinator

● Serve as the primary point of contact for seller clients from first introduction

through closing, delivering a consistently high-end, white-glove experience

● Foster strong client relationships with timely, warm, and professional

communication (phone, email, and in-person)

● Provide sellers with regular updates including weekly showing activity reports,

market feedback, and timeline progress and be able to discuss it with them.

● Proactively anticipate client needs, handle any issues that arise, and be a

confidence collaborator to avoid challenges.

● Coordinate vendor and service resources on behalf of clients when needed —

contractors, home services, and related support so client’s don’t have to call

● Represent the team with the highest level of professionalism in every client

interaction

WHAT YOU BRING

Experience in real estate, hospitality, project management, or client-facing

service — you understand what white-glove care luxury looks and feels like

Exceptional communication skills — written and verbal — with a natural ability

to build trust quickly with clients, agents, and vendors of all backgrounds. Using

AI to write everything is a non starter

Meticulous organization and detail orientation — you manage multiple

moving pieces simultaneously without anything slipping through the cracks

Calm, solutions-focused composure under pressure — you handle difficult

situations with grace and keep things moving in a fast-paced environment

A proactive, reliable, and professional presence — punctual, trustworthy,

high-energy, and genuinely passionate about delivering superior service

Tech-savvy with Mac, Google Workspace, and MLS platforms — comfortable

with the digital tools that run a modern real estate operation
