Cooke, Lavender, Massey & Company, P.C. is a growing public accounting firm serving businesses, individuals, nonprofit organizations, and other clients throughout the New River Valley and surrounding areas. Since 1988, our firm has built its reputation on exceptional client service and a professional, team-oriented work environment. We provide tax, accounting, audit and assurance, bookkeeping, payroll, and advisory services from our Blacksburg and Radford offices.

We are seeking an experienced Office Manager / Firm Administrator to oversee the day-to-day administrative operations of our firm. This is a key position within our organization and an opportunity for the right person to take ownership of the systems, processes, and administrative functions that keep a busy CPA firm running efficiently.

The ideal candidate is highly organized, dependable, detail-oriented, comfortable with technology, and capable of managing multiple priorities with limited supervision. We are looking for someone who sees what needs to be done, solves problems, improves processes, and takes pride in helping both our clients and our team.

Responsibilities

Oversee the firm's day-to-day administrative and office operations
Serve as a primary point of contact for clients and help ensure a professional and responsive client experience
Coordinate front-office functions, including telephone calls, visitors, client inquiries, mail, deliveries, and correspondence
Manage the administrative processing, assembly, electronic delivery, and organization of tax returns, financial statements, engagement letters, and other client documents
Maintain organized electronic and physical client records and document-management systems
Manage client billing, accounts receivable, payment processing, and collection follow-up
Coordinate administrative workflows and assist with tracking client work, deadlines, and outstanding items, particularly during tax season
Work closely with partners and professional staff to identify administrative needs, resolve workflow issues, and keep client work moving efficiently
Develop, document, implement, and improve office procedures and administrative processes
Help implement and maintain firm technology and administrative systems and assist staff in using those systems effectively
Manage office supplies, equipment, vendors, subscriptions, and other general office needs
Coordinate company bills and other internal administrative matters
Assist with scheduling, internal communications, meetings, staff functions, and firm events
Maintain the confidentiality of sensitive client, employee, and firm information
Proactively identify opportunities to improve efficiency, organization, internal communication, and client service
Perform other administrative and operational responsibilities as needed to support the firm's partners and staff

Qualifications

Significant experience in office management, administration, operations, or a similar role
Excellent organizational and time-management skills
Exceptional attention to detail and accuracy
Strong written and verbal communication skills
Professional, friendly, and service-oriented approach to working with clients
Ability to prioritize competing responsibilities and meet deadlines
Strong problem-solving skills and sound judgment
Ability to work independently and take ownership of responsibilities
Ability to anticipate needs and take initiative without requiring constant direction
Strong interpersonal skills and ability to work effectively with a variety of personalities
Comfortable learning and using new technology and business software
Proficiency with Microsoft Outlook, Word, and Excel
Ability to handle confidential information with discretion

Preferred Experience

Prior experience in a CPA firm, accounting firm, law firm, financial services firm, or other deadline-driven professional-services environment is strongly preferred.

Experience with administrative workflow management, client billing, document management, or professional-office technology is particularly valuable.

A college degree is preferred but not required. Relevant experience, organizational ability, professionalism, judgment, and demonstrated success managing a busy office are more important than a specific degree.

This position is also eligible for discretionary bonus compensation and overtime.

Pay: $45,000.00 - $55,000.00 per year
