BodyLase is looking for a very organized, detail-oriented Accounting & Finance Automation Specialist to join our team. This role is ideal for someone who is excited to use AI — Claude in particular — to automate and streamline as much of our accounting and finance function as possible, while owning the day-to-day bookkeeping of a growing, multi-location business.
We are looking for someone who is strong with QuickBooks Online, comfortable learning and navigating different systems, and energized by the opportunity to help improve processes as the business grows. A core focus of this role is eliminating manual work: we use Claude to automate our business and processes wherever possible, and this person will help lead that effort across everything on the accounting and finance side. This role offers a mix of consistent, recurring accounting work and special projects related to expansion, automation, new location setup, and acquisitions. You'll also have support: an experienced team member who knows the company well handles many of the day-to-day entries — cash deposits, credit card transactions, and routine data entry — and tracks down receipts, so you can focus on ownership, accuracy, and automation.

Requirements:
- Strong proficiency with AI tools — especially Claude — and genuine enthusiasm for using AI to automate work, eliminate manual processes, and solve problems
- Strong hands-on bookkeeping and accounts payable (AP) experience, with the ability to maintain accurate financial records and reconciliations
- High level of proficiency in QuickBooks Online
- Proficient in Microsoft Excel, including formulas, pivot tables, and data organization
- Tech-savvy and comfortable learning new systems quickly
- Comfortable working in a fast-paced, growing environment with evolving needs
- Genuine interest in automation and process improvement, with a drive to eliminate manual work
- Strong attention to detail, accuracy, consistency, and organization
- Highly reliable, self-directed, and accountable
- High degree of integrity and ability to handle sensitive financial information
- This is an in-office role based in Raleigh, NC, with the flexibility to work remotely on Fridays once you're fully up to speed in the position
Preferred but not required:
- Experience in a multi-location, multi-site retail, or small business accounting/finance environment
- Familiarity with systems such as Ramp, ADP, Employee Navigator, or similar platforms
- Experience supporting new location openings, acquisitions, or back-office integrations
Key Responsibilities (but not limited to):
- Own day-to-day bookkeeping across multiple locations, including recording transactions and maintaining accurate financial records
- Manage accounts payable in Ramp — primarily vendor bills paid by ACH and check — including entering, coding, and processing payments
- Perform account reconciliations for bank accounts, credit cards, loans, mortgage, and other balance sheet accounts
- Reconcile financial activity to POS and other operating systems
- Maintain and manage QuickBooks Online, ensuring accuracy, consistency, and proper setup
- Support monthly and ongoing financial reporting, including using Claude to help produce clean, timely month-end financial statements
- Run, review, and process payroll in ADP, ensuring accuracy and timely completion each pay period
- Drive automation of accounting and finance workflows — using Claude and other tools to eliminate manual work across bookkeeping, AP, expense and credit card management, reconciliations, and reporting
- Utilize and help manage systems such as QuickBooks Online, Ramp, ADP, Employee Navigator, and other integrated platforms
- Support new location openings and acquisitions from an accounting, systems, and back-office perspective
- As interest and capacity allow, contribute to special projects beyond the day-to-day, such as mergers & acquisitions (M&A) and other strategic growth initiatives
- Assist with inventory tracking and reporting
- Prepare year-end files for the external CPA and ensure books are organized for tax filings
- Process and distribute 1099s/1096s and maintain supporting documentation
- Maintain organized digital records and financial paperwork
- Maintain confidentiality and data security
- Perform other duties and responsibilities as requested with a positive attitude and team spirit
