Job Summary
We are seeking a dynamic and detail-oriented Bookkeeper/Administrative Assistant to join our team! This vital role combines accurate financial record-keeping with efficient administrative support, ensuring the smooth operation of our office. The ideal candidate will be proactive, organized, and possess excellent communication skills, ready to handle a variety of tasks that keep our business running seamlessly. Responsibilities

Manage day-to-day bookkeeping using QuickBooks, including invoicing, expense tracking, and bank reconciliations
Handle front desk duties such as greeting visitors, answering multi-line phone systems, and directing calls with professional phone etiquette
Maintain organized filing systems for financial documents, client records, and office supplies
Support office management tasks such as calendar management, appointment scheduling, and coordinating meetings
Provide exceptional customer service by assisting clients and vendors via phone or email, ensuring timely responses and support
Perform data entry with high accuracy for billing, payroll, and other administrative records
Proofread correspondence, reports, and documents to ensure clarity and professionalism

Requirements

Proven experience in office management or administrative roles with clerical experience preferred
Strong computer skills including proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
Familiarity with QuickBooks or similar accounting software for bookkeeping tasks
Excellent organizational skills with the ability to multitask efficiently in a busy environment
Bilingual abilities are a plus to effectively communicate with diverse clients and team members
Experience in medical or dental receptionist roles is advantageous but not required
Demonstrated customer service skills with a friendly demeanor and professional phone etiquette
Ability to handle confidential information discreetly while maintaining accuracy in data entry and recordkeeping
Strong time management skills to prioritize tasks effectively throughout the workday
