FIND Food Bank is the Desert’s Regional Food Bank and the Feeding America Member food bank that serves the Coachella Valley Desert area of California (commonly known as the Palm Springs, CA area). For over 40 years, FIND has dedicated itself to relieving hunger, the causes of hunger, and the problems associated with hunger through awareness, education, community involvement and mobilizing resources to those in need of food assistance in the eastern Riverside and southern San Bernardino Counties Area. Our vision is to End Hunger for Today, Tomorrow and Lifetime so that people are free of hunger and food insecurity. FIND’s team is committed to the equitable distribution of healthy food resources, advancing outreach efforts to ensure access to government food assistance and medical programs, rescuing safe and edible foods that would otherwise be wasted in landfills, and leading a community movement of non-profits and organizations committed to ending hunger in our region. Resources are leveraged in a strategic, cost-effective manner to achieve our mission and vision. FIND serves over 125,000 people per month through our food distribution network and distributes over 20 million lbs. of food per year, partners with over 100 organizations and runs 46 free Community Mobile Markets to ensure that there are over 140 easily accessible free food locations over a 5,000 sq. mile service area.
SUMMARY of POSITION
The following is a general list of job responsibilities that may be reviewed and/or updated at the conclusion of the probationary period and annually thereafter.
The Community Impact Operations & Data Coordinator supports FIND Regional Food Bank's mission to End Hunger for Today, Tomorrow and a Lifetime by serving as the department's primary administrator for Community Impact operations scheduling, program data management, grant reporting, and departmental performance tracking. Reporting directly to the Chief Community Impact Officer, this position ensures the accuracy, integrity, and timely coordination of operational calendars, program reporting, grant compliance, and performance metrics across all Community Impact programs.
The Community Impact Operations & Data Coordinator serves as the department's central steward of Community Impact operational information and is responsible for maintaining the Community Impact Operations Calendar, coordinating grant reporting, supporting program leaders with accurate data collection, identifying discrepancies, monitoring compliance with reporting requirements, and producing reports that support organizational decision-making. This position works collaboratively with Community Impact department leaders, Operations, Finance, Development, and Executive Leadership to ensure operational excellence and accurate reporting throughout the organization.
In addition to operations coordination and reporting responsibilities, this position provides administrative support to the Community Impact Department, serves as backup support for front desk operations and office closure procedures, and supports Community Mobile Markets, disaster response, special events, and other Community Impact initiatives as needed.
ESSENTIAL DUTIES and RESPONSIBILITIES
Community Impact Operations Calendar Management
- Serve as the primary administrator of the Community Impact Operations Calendar, the department's official scheduling system for all Community Impact operations.
- Coordinate with Community Impact department leaders to collect, verify, and maintain all agency distributions, Community Mobile Markets, Homebound Delivery routes, CalFresh outreach events, Workforce Development activities, College Programs, CSFP distributions, volunteer events, disaster response activities, and special initiatives.
- Ensure all calendar entries are accurate, complete, and entered according to department timelines.
- Verify program schedules prior to publication to ensure operational accuracy and minimize scheduling discrepancies.
- Communicate proactively with department leaders to resolve scheduling conflicts, missing information, cancellations, additions, or operational changes.
- Coordinate closely with Warehouse Operations to ensure calendar information supports order building, production schedules, transportation routing, staffing plans, and inventory allocation.
- Maintain standardized scheduling procedures and version control to ensure consistency across the department.
- Conduct routine quality assurance reviews with the goal of maintaining near-zero scheduling discrepancies.
- Prepare and distribute weekly operational schedules to support warehouse planning and Community Impact operations.
- Continuously evaluate scheduling processes and recommend improvements that increase efficiency, communication, and operational accuracy.
Grant Reporting & Compliance
- Serve as the primary coordinator for Community Impact grant reporting under the direction of the Chief Community Impact Officer.
- Collaborate with Community Impact department leaders to collect required program data and supporting documentation for grant reports.
- Review submitted reports for completeness, consistency, and accuracy prior to submission.
- Identify reporting discrepancies, missing information, or compliance concerns and work directly with department leaders to resolve issues in a timely manner.
- Maintain grant reporting calendars and ensure all reports are submitted accurately and within required deadlines.
- Compile historical program outcomes, performance metrics, and supporting documentation for grant applications and renewals.
- Maintain organized electronic and physical grant files to support monitoring visits and audits.
- Ensure compliance with grant deliverables, reporting requirements, and organizational policies.
- Prepare grant performance reports for federal, state, local, and private funding agencies.
Data Management & Program Reporting
- Maintain accurate and current databases for all Community Impact programs, including Community Mobile Markets, CalFresh Outreach, Community Health Workers, Homebound Delivery, Workforce Development, FIND Success College Programs, CSFP, Volunteer Services, Retail Rescue, Disaster Response, and other Community Impact initiatives.
- Ensure timely entry, verification, and maintenance of program data.
- Establish and maintain department reporting standards that promote consistency and data integrity.
- Conduct routine quality assurance reviews to ensure data accuracy and completeness.
- Work collaboratively with department leaders to resolve reporting discrepancies and improve documentation practices.
- Maintain confidential participant information in accordance with organizational policies and applicable regulations.
- Support program evaluations, surveys, community assessments, asset mapping, and strategic planning initiatives.
- Gather and prepare data for grant proposals, donor reports, annual reports, Board reports, and community presentations.
Performance Monitoring & Data Analysis
- Prepare monthly, quarterly, and annual Community Impact performance reports.
- Develop department dashboards and Key Performance Indicator (KPI) reports.
- Monitor departmental performance trends and identify opportunities for operational improvement.
- Prepare executive summaries and reports for Executive Leadership, the Board of Directors, funders, and community partners.
- Assist the Chief Community Impact Officer in monitoring departmental performance, grant deliverables, and organizational outcomes.
- Analyze program data to support strategic planning, resource allocation, and continuous quality improvement.
- Support the preparation of FIND's annual Community Impact Report and other organizational publications.
Administrative Support
- Provide administrative support to the Chief Community Impact Officer and Community Impact Department.
- Coordinate departmental reporting schedules, meetings, agendas, and supporting documentation.
- Maintain organized departmental files, electronic records, and operational documentation.
- Assist with departmental communications, purchasing requests, and special projects.
- Serve as backup support for front desk operations as assigned.
- Serve as backup for office opening and closing procedures.
- Assist with reception coverage and general administrative support during staffing shortages or organizational needs.
Community Engagement & Department Support
- Support Community Mobile Markets, emergency food distributions, and special events as assigned.
- Participate in disaster response activities and emergency food assistance operations.
- Provide operational support across Community Impact programs during periods of increased demand.
- Represent FIND Regional Food Bank professionally while interacting with clients, volunteers, community partners, agencies, and the public.
- Support department initiatives that further FIND's mission, strategic priorities, and community impact.

MINIMUM REQUIREMENTS
- Organizational and time management skills.
- Excellent verbal communication skills with Volunteers, Outside agencies, employees, etc..
- Minimum of 1 year Community Voluntary Program, Customer Service and/or Management.
- Experience in a food bank and/or other nonprofit setting preferred
- High School Diploma or GED, Associates Degree preferred or a combination of appropriate educational background and professional work experience for this position
- Proven leadership skills
- Ability and desire to relate to and work with various age, socio-economic, gender, racial and ethnic groups
- Ability to learn and enforce Feeding America, local, state and federal laws and regulations relating to Food Safety and food handling
- Must possess a valid California Driver's License, proof of auto insurance on personal vehicle used, be insurable by FIND’s commercial auto policy provider, and have reliable transportation for business use. (mileage reimbursed by FIND for business use)
- Must be available for occasional evening and weekend work as required.
- Ability to adhere to FIND Food Bank’s organizational policies and work standards.
- Ability to lift 60 pounds.
WORK ENVIRONMENT
Warehouse and outdoor environment, including work in coolers/freezers and in warehouse and outdoors with extreme temperature variance; extensive computer and phone work; responsible for safe use of equipment; driving, walking, standing, bending, stooping, kneeling, lifting, and carrying items weighing in excess of 60 pounds; regular contact with volunteers and agency representatives; work periodically requires extended hours.
