Front Office / Client Support Specialist
Bilingual English & Spanish
Pay: $22.00–$24.00 per hour
Schedule: Monday–Friday, 9:00 AM–5:00 PM

We are seeking a dependable, organized, and customer-focused Front Office / Client Support Specialist to join our team. This position is responsible for providing excellent client service while supporting the daily administrative and operational needs of our insurance office.
The ideal candidate is friendly and professional, comfortable communicating with clients in both English and Spanish, highly organized, and able to manage multiple tasks while maintaining attention to detail and confidentiality.
This is a hands-on front office position where staying organized, following through on tasks, and keeping the office running smoothly are essential.
Key ResponsibilitiesFront Desk & Client Service
- Greet and welcome clients and visitors in a friendly and professional manner.
- Assist walk-in clients and determine the appropriate person or department to assist them.
- Answer and direct incoming calls using a multi-line phone system.
- Respond to client questions and provide general assistance while appropriately directing insurance-specific questions to the licensed agent or appropriate team member.
- Maintain a professional, welcoming, and organized reception area.
- Communicate with clients in both English and Spanish.
Appointments & Client Follow-Up
- Schedule, confirm, reschedule, and follow up on client appointments.
- Confirm upcoming appointments and ensure appointment information is accurate.
- Monitor missed and canceled appointments and update the CRM accordingly.
- Follow up on outstanding client tasks and requests.
- Assist with client follow-up lists, including referral lists and clients approaching Medicare eligibility age.
- Make courtesy calls, including birthdays
CRM & Administrative Support
- Maintain accurate and up-to-date client information in the CRM system.
- Monitor the CRM for pending tasks and follow-ups.
- Enter and update client information accurately.
- Review and follow up on pending applications and documentation.
- Assist with processing documents related to health, life insurance, and annuity applications.
- Assist clients with insurance forms and general policy-related inquiries.
- Scan, print, copy, organize, and file documents as needed.
- Handle confidential client information with professionalism and discretion.
- Check office email, voicemail, and internal office communications regularly and resolve or appropriately delegate messages.
Daily Office Operations
- Complete assigned daily front-office tasks and follow the office's daily workflow/checklist.
- Ensure the front office is prepared and organized at the beginning of the business day.
- Maintain a clean and professional reception and lobby area throughout the day.
- Monitor office supplies, including beverages, water, and snacks, and restock as assigned.
- Assist with general office organization and special projects or events as needed.
- Help maintain a professional and welcoming environment for clients.
Opening & Closing Responsibilities
- Prepare the office for opening and ensure the front office is ready for clients.
- Complete assigned end-of-day administrative and organizational tasks.
- Assist with closing procedures, including organizing the front desk and lobby and completing assigned office shutdown procedures.
Qualifications & Skills
- Bilingual English and Spanish required.
- Previous experience in a front desk, receptionist, administrative assistant, customer service, or similar role required.
- Strong verbal and written communication skills.
- Excellent customer service skills and a professional demeanor.
- Strong organizational skills and attention to detail.
- Ability to multitask and prioritize responsibilities in a busy office environment.
- Comfortable using computers, email, CRM systems, printers, copiers, scanners, and other standard office equipment.
- Ability to learn and follow established office procedures and checklists.
- Ability to handle confidential client information responsibly.
- Reliable, punctual, and able to work independently while also being a team player.
- Experience in an insurance, Medicare, healthcare, medical office, or financial-services environment is a plus.
