Position Summary
The Guest Services Director leads Cedar Canyon Camp’s retreat and guest-services ministry from the first inquiry through post-event follow-up.
This position serves as the primary contact for guest groups, coordinating contracts, schedules, lodging, meals, meeting spaces, and other retreat details. The Guest Services Director also builds relationships with current and prospective groups, supports the growth of retreat ministry, oversees housekeeping standards, and develops organized systems that make every guest experience welcoming and easy.
We are looking for a Christ-centered leader who loves people, communicates well, values excellence, and believes hospitality is ministry.
Primary Responsibilities: Guest Experience and Retreat Coordination
- Serve as the primary contact for retreat and guest groups
- Respond to inquiries and guide groups through the booking process
- Prepare proposals, contracts, schedules, and retreat details
- Coordinate lodging assignments, meal counts, meeting spaces, and activity needs
- Communicate clearly with guests before, during, and after their stay
- Welcome and host groups while they are on-site
- Follow up with group leaders after each event
- Help resolve guest questions, concerns, and last-minute changes
Retreat Ministry Growth
- Build long-term relationships with churches, schools, ministries, and organizations
- Strengthen relationships with returning guest groups
- Identify and pursue new retreat and rental opportunities
- Promote Cedar Canyon Camp through personal outreach and marketing
- Help grow retreat participation, occupancy, and revenue
- Represent Cedar Canyon Camp professionally in person, by phone, and in writing
- Maintain accurate guest records, contracts, schedules, and group information
- Develop organized systems for guest communication and retreat planning
- Coordinate hosting schedules and communicate staffing needs
- Monitor retreat budgets, facility use, and occupancy
- Collect guest evaluations and recommend improvements
- Support the Executive Director with administrative projects
- Maintain consistent follow-through on deadlines and commitments
Hospitality and Housekeeping Leadership
- Oversee housekeeping standards for cabins, lodges, meeting spaces, and common areas
- Help ensure facilities are clean, prepared, and welcoming before each group arrives
- Coordinate room setups and special-event preparations
- Communicate facility needs to the appropriate department leaders
- Support housekeeping staff and volunteers as needed
- Help create a culture of warmth, service, excellence, and attention to detail
Camp-Wide Service
- Work closely with programming, food service, facilities, and camp leadership
- Assist with hosting, setup, meals, cleaning, and other camp responsibilities
- Remain flexible as ministry needs and priorities change
- Model a willingness to serve wherever needed
- Contribute to a positive, Christ-centered staff culture

Qualifications
- A growing personal relationship with Jesus Christ
- Active involvement in a local church
- Support of Cedar Canyon Camp’s Christian mission and values
- Excellent written and verbal communication skills
- Strong organization and attention to detail
- Ability to manage multiple groups, schedules, and deadlines
- Ability to build relationships with a wide variety of people
- A warm, welcoming, and service-minded personality
- Strong problem-solving and follow-through skills
- Ability to take initiative and work independently
- Flexibility and willingness to serve wherever needed
- Experience in guest services, hospitality, administration, marketing, sales, retreat ministry, or a related field preferred
- Previous leadership or supervisory experience preferred
- Ability to pass required background checks
- Valid driver’s license [if required]
