Position Description

Position: Office Manager
Responsible To: Executive Director
Status: Full Time (40 hours a week)
Probationary Period: 90 days
Benefits Eligibility: Yes

Qualifications:
A minimum of a Bachelors Degree in Human Services, Social Work or related field or two years of related work experience desired. Organizational, computer and leadership skills; initiative and a willingness to work with people required. Must exhibit sound judgment, a professional attitude, and excellent verbal and written skills. Must have a desire to create effective long-term strategies to enhance the capacity of advocating and the CASA effort. Must be willing to work varied hours.

Requirements:

Working knowledge of Microsoft Office, including Word, Excel, and Outlook.
Valid driver’s license and reliable transportation.
Successful completion of criminal background investigation and Child Abuse and Neglect

Central Registry check.

Job Responsibilities:

A. Administration

1. Be the first point of contact for the public.

2. Prepare and type correspondence as required.

3. Schedule printer/copier/fax office maintenance and repairs as required.

4. Purchase and order office supplies as needed.

5. Maintain records and communication with vendors and maintenance.

6. Assist with distribution and collection of mail to and from courthouse.

7. Assist Volunteer Coordinators with organization of case files.

8. Maintain shared calendars.

9. Maintain volunteer list and contact changes.

10. Maintain donor records and prepare thank you letters.

11. Assist with maintaining guidelines and standards from National CASA.

12. Assist with preparation and maintenance of personnel records.

13. Preparation and maintenance of staff forms.

14. File paperwork as assigned by the Executive Director.

15. Assist with preparation and submission of grants.

16. Other duties as assigned by Executive Director.

B. Bookkeeping

1. Copy and deposit all monies received.

2. Assist with mailing of grants.

3. Control of petty cash.

4. Assist in preparing accounts and vouchers.

5. Track office expenses and payment vouchers.

6. Track grant expenses.

7. Other duties as assigned by Executive Director.

C. Volunteer Administration / Staff Support

1. Send volunteer application packets out, answer questions and assist with application process.

2. Organize and follow up with inquiries from volunteer applicants.

3. Organize new volunteer files.

4. Obtain references on new volunteers.

5. Obtain background checks on volunteers, staff and board.

6. Prepare training schedules.

7. Prepare and organize class materials. Assist with updating handouts as needed.

8. Plan volunteer in-service trainings.

9. Distribute community training information and updated calendar to volunteers.

10. Assist with volunteer retention and recognition.

11. Assist with creation and disbursement of recruitment material such as posters, brochures and calendar notices.

12. Assist with implementation of other recruitment activities as assigned by the Executive Director.

13. Facilitate travel logistics for conferences.

14. Other duties as assigned by Executive Director.

D. Assists with special events and projects as needed
