Full Job Description

The Office Coordinator will be responsible for providing maintaining the day-to-day operations of our business offices and provide operational support to general company operations, accounting, and human resources.

ESSENTIAL FUNCTIONS:

Company Operations

Process and Maintain Client / Vendor insurance certificate.
Project setups and management in Unanet software, including budget entry, scope increases, retainers, and billing support.
Assist in management of employee credit cards and expenses.
Assist with managing essential business accounts (Comcast, Verizon, EZ Pass, Sunoco, etc.)
Recordkeeping and filing of vendor invoices, service providers, equipment records.
Support colleagues with resolving IT related concerns.
Assist with managing vehicle and equipment paperwork to include mile logs, repairs, registration, inspections, insurance, and other spreadsheets.
Assist Project Managers and Principals with preparing and sending documents as required.

Accounting

Accounts Receivable (AR) tracking, matching, and management. Monitor daily ACH transactions and post accordingly. Scan checks into operating account and reconcile bank accounts as required.
Communicate with and upload client invoices via email, mail, client portals and track payments, complete specialized client invoicing and resolve Invoice/payment discrepancies and resolution. Provide back-up support when needed. Assist with managing project retainers.
File essential documents as required.
AR outreach (calls and emails) and follow-up communications
Accounts Payables (AP) management include signatures, check matching and mailouts, vendor recordkeeping and filing of invoices. Address concerns timely.

Human Resource

Manage weekly timesheet and expense report submissions for timeliness, accuracy, and approval. Complete additional reports to include PTO, IPA, Holiday, and Comp time tracking.
Function as a back up to the Controller to submit payroll.
Support the recruitment, onboarding, workplace set up, and management of new hire and onboarding of paperwork as required.
Prepare documents for annual employee reviews and communicate those events to appropriate supervisors.
Provide additional point-of-contact HR support. Assist with the implementation of open enrollment, updating procedures, manuals, and essential checklists.
Assist with the planning of Employee Special Events.

Administrative

Manage daily office operations, calendars, staff databases, distribution lists, and schedules.
Serve as a point of contact for colleagues, clients, and vendors. Direct customer service inquiries.
Answer phone calls, emails, and handle correspondence. Assist staff with formatting and submitting reports, office mail, marketing material, and managing the USPS, UPS, and FedEx accounts.
Inventory and order office supplies, marketing materials, and other equipment.
Assist with mailing marketing materials,
Coordinate Participate in essential meetings and complete other office duties.

Education:

Associate’s degree in business management, accounting or similar degree, or equivalent professional experience.

5+ years’ experience in business office management preferred.

Preferred skills:

Experience with enterprise-level accounting applications (e.g., QuickBooks, Unanet, or similar) and business software (Word, Excel, Adobe).
Ability to use problem solving and flexibility to successfully resolve issues with clients, and team members.
Professional demeanor, excellent verbal, written, and interpersonal communication skills.
Proficient technical writing skills and understanding of industry-standard IT applications (Word, Excel, PowerPoint, Adobe, Kofax, etc.)
