The Kutztown Area School District is seeking a full-time Administrative Assistant to the High School principal. This is a 12 month, salaried, classified confidential support staff position working 7:00am-3:30pm. The person filling this position is directly responsible to the High School Principal. This person must be able to communicate effectively in oral and written communications, demonstrate effective organizational skills, and demonstrate knowledge of computer technology. Communicating and assisting students, staff, parents and the community is a vital part of this position. Confidentiality is of the utmost importance.
QUALIFICATIONS:
Previous experience in a school environment preferred; High School Diploma/GED or higher preferred
RESPONSIBILITIES:
- Reads and abides by the Pennsylvania School laws and regulations, Federal and State laws, and regulations governing educational and civil rights of students and others, Child Protective Services Act, the policies of the Board of Education, and administrative manuals.
- Responsible for maintaining Aesop, checking daily substitute list, assigning teachers if vacancies and monitoring staff attendance sheets.
- Organize teacher coverage and senior volunteer schedules, when needed.
- Communicates clearly, concisely, and effectively, both orally and in writing, with the administrative staff, professional and support staff, students, parents, and community.
- Handle phone calls from schools, parents, community, etc. that pertain to high school.
- Order, receive, and inventory building supplies
- Maintain high school calendars and appointments in electronic calendars.
- Responsible for distribution of all forms to all high school professional and support staff, students, and parents
- Maintains the General Account, Sr. Awards Account and cash box; responsible for issuing checks drawn on these accounts
- Organizes end of the year awards assemblies.
- Maintains maintenance records on all copy machines in the building
- Provide clerical expertise to students, staff, parents, and community
- Miscellaneous
- Maintain a confidential knowledge of district personnel and events affecting district personnel
- To provide backup and assistance to attendance secretary
- Coordinate School photographers for underclass and senior photos.
- Assist with Commencement Ceremony: Order diplomas, organize student communication via email, calendar, mailings, create commencement program, arrange photographer, contact media.
- Assignment of student lockers.
- Schedule teacher observations and end of year evaluations.
- Organize Open House events.
- Facilitate end of year student obligations and communication for students and teachers
- Monitor and approve substitute hours.
- Assist HR with coordinating High School interviews.
- Assist class advisors: reports, labels, collections, and distribution of information.
- Other duties as assigned by the high school principal or other district administrator.
Office Procedures
- Proficiency in typing, filing and office procedures
- Proficiency in Powerschool for attendance of students and maintain files
- Mastery of Google and Microsoft Suites
- Excellent computer, communications and human relations skills
- Create, revise and send summer mailings
- Sort and distribute mail and deliveries
Organizational/reasoning skills
- Ability to solve practical problems and deal with variables in the solution process.
- Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
- Exercises common sense approach, maintains composure in challenging situations.
Communication
- Patience and understanding of how to be a good listener
- Perform morning and afternoon announcements
- Gather, organize, communicate emergency dismissal plans
- Create first-day packets for students

SALARY: $14.78 - $16.89 per hour based upon experience
