Full Job Description

The Moster Law Firm is a growing Texas law firm committed to providing exceptional legal services while delivering outstanding client service. We are seeking a highly organized, detail-oriented Accounts Receivable & Administrative Assistant to help manage our accounts receivable process and provide administrative support to our accounting and operations team.

Position Summary

The Accounts Receivable & Administrative Assistant is responsible for helping maintain healthy cash flow by monitoring client accounts, following up on outstanding invoices, processing payments, and assisting with daily administrative functions. This role requires excellent communication skills, professionalism, and the ability to handle confidential financial information with accuracy.

ResponsibilitiesAccounts Receivable

Review outstanding client invoices and monitor aging reports.
Contact clients regarding past-due balances by phone and email.
Process client payments and accurately apply them to accounts.
Assist with payment plans and monitor compliance.
Maintain detailed notes regarding collection efforts.
Research and resolve billing discrepancies.
Prepare weekly accounts receivable reports.
Work closely with attorneys and accounting staff to resolve payment issues.

Administrative Support

Assist with filing, scanning, and document organization.
Prepare correspondence and client communications.
Maintain spreadsheets and reports.
Support accounting and administrative projects.
Assist with mail, FedEx, and other office duties as needed.
Perform other administrative tasks to support the firm's operations.

Qualifications

Minimum of 2 years of Accounts Receivable or collections experience.
Administrative office experience required.
Excellent telephone communication and customer service skills.
Strong organizational skills and attention to detail.
Ability to maintain professionalism when discussing past-due accounts.
Proficiency with Microsoft Outlook, Word, and Excel.
Ability to prioritize multiple tasks in a fast-paced environment.
High level of integrity and confidentiality.
Law firm experience preferred.
Experience with Clio or other legal practice management software.
Experience with QuickBooks or accounting software.
Experience reading and understanding billing statements.
