Role Summary
The Shipping & Receiving Clerk is responsible for the accurate receipt, storage, inventory management, packaging, and shipment of materials, components, and finished goods. This position plays a critical role in maintaining inventory accuracy and ensuring all transactions are properly recorded within Sof-Tek's Odoo ERP system. The Shipping & Receiving Clerk supports production, engineering, purchasing, and customer delivery activities while maintaining compliance with company procedures and quality standards.

Receiving Operations
- Receive and process incoming shipments (approximately 10–30 deliveries per day).
- Verify quantities, part numbers, purchase orders, packing slips, and shipment condition.
- Perform receiving transactions in Odoo ERP, including inventory receipts and stock movements.
- Label materials according to company standards and ensure proper traceability.
- Identify and report damaged, missing, or incorrect materials.
- Coordinate with Purchasing and Engineering to resolve discrepancies.
Inventory Management
- Maintain accurate inventory records and inventory locations within Odoo.
- Stock materials according to established warehouse and inventory control procedures.
- Perform cycle counts and assist with physical inventory audits.
- Investigate and resolve inventory discrepancies.
- Support continuous improvement initiatives to increase inventory accuracy and warehouse efficiency.
Shipping Operations
- Process outgoing shipments (approximately 10–40 shipments per day).
- Pick, package, and prepare materials and finished products for shipment.
- Generate shipping documentation, labels, and tracking information.
- Perform shipment transactions within Odoo ERP.
- Follow customer-specific shipping requirements and documentation standards.
- Coordinate shipments with carriers and freight providers.
- Ensure all shipments are accurate, complete, and delivered on schedule.
Documentation & Process Compliance
- Maintain accurate records of receiving, inventory, and shipping transactions.
- Ensure inventory movements are recorded in real time within Odoo.
- Follow company procedures, work instructions, and quality requirements.
- Assist in developing, updating, and improving shipping, receiving, and inventory processes.
- Support ISO, customer audit, and traceability requirements when applicable.
Team Support
- Work closely with Purchasing, Production, Engineering, and Project Management teams.
- Assist with material staging and production support activities as needed.
- Participate in cross-training and Flex Team assignments.
- Perform additional duties as assigned.
Required Skills / Abilities

Technical Skills
- Experience using ERP systems, preferably Odoo.
- Proficiency with inventory transactions, receiving workflows, and shipment processing.
- Proficiency with Microsoft Office and/or Google Workspace applications.
- Experience using shipping software, carrier portals, and barcode systems is preferred.
Education & Experience
- High school diploma or equivalent required.
- Previous shipping, receiving, warehouse, inventory control, or logistics experience preferred.
- Minimum one year of experience in a manufacturing, warehouse, distribution, or customer-focused environment.
- Experience with ERP systems (Odoo preferred) strongly preferred.
- Forklift experience or certification is a plus.
Key Performance Indicators (KPIs)
Performance may be measured using:
- Inventory accuracy
- Receiving transaction accuracy
- Shipping accuracy
- On-Time Delivery (OTD)
- Cycle count completion and accuracy
- Warehouse organization and housekeeping
- ERP transaction compliance
- Internal customer support responsiveness
Work Environment
This position primarily operates within a warehouse and manufacturing environment. The employee may be exposed to varying temperatures in receiving, shipping, and loading areas.
Physical Requirements
The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. The job duties require the ability to traverse distribution warehouse and access a variety of storage spaces and shelving units by stretching, squatting and reaching. Requires prolonged periods standing at a desk and working on a computer. Walking throughout the building and grounds are also required. The employee is regularly required to talk or hear. The employee frequently is required to stand; walk; sit; bend. The employee must regularly lift and/or move up to 50 pounds. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception and ability to adjust focus. Forklift certification is a plus.
Travel
Travel mostly at the local level. Some occasional out of town travel maybe required.
