Full Job Description

POSITION DETAILS

Reports to: Owner/President, Danny Addy

Status: Full-time, hourly

Hours: Monday through Friday, flexible scheduling

Compensation: $25–$30/hour, depending on experience

BENEFITS

24 hours (3 days) of sick pay upon hire
After your 90-day probationary period: holiday pay for five of the ten federal holidays — New Year’s Day, Independence Day, Thanksgiving Day, Christmas Day, and either Memorial Day or Labor Day
Five days of paid vacation, with the possibility of additional PTO after 12 months of employment
Humana Dental Plan eligibility 60 days after your hire date, as a full-time employee
Company computer and standard accessories provided; any additional equipment requires advance approval from ownership

ABOUT THE ROLE

Addy Solar & Electric has been powering homes, businesses, and farms across Northern California since 2012. We're a family-owned company, and as we grow, we need an Office Manager who can build and run the systems that keep our team organized, our people supported, and our operations moving.

This is a leadership role, not a desk-only position. You'll work directly with ownership and department heads to develop the administrative and HR infrastructure the company needs — policies, procedures, employee files, payroll, onboarding, and the platforms that hold it all together. You'll help each department think ahead about staffing, budget, and culture, and you'll be the person who makes sure the day-to-day runs smoothly while the company keeps building for what's next.

You'll also be the first face our clients and visitors see. A steady, professional front-desk presence matters here just as much as the systems work happening behind it.

Leadership will provide a detailed two-to-four-week onboarding and training process. This role works closely with the team on a daily and weekly basis, so collaboration matters as much as independent follow-through.

KEY RESPONSIBILITIES

Accountability: Model and promote Addy Solar & Electric's mission, vision, and values in every interaction.

Systems & Operations: Manage, troubleshoot, and launch the platforms and systems the company relies on, and make sure the team is trained to use them well.

Leadership: Be a steady, positive presence for the team, providing timely administrative and technical support and setting the tone for how the office operates.

Coordination: Partner with the Owner/President and every department to solve problems quickly, support project timelines, and schedule installations.

Communication: Keep information flowing clearly between the team and outside partners, and build the record-keeping systems that make collaboration easier.

DAY-TO-DAY DUTIES

Oversee office supplies, equipment, and facilities so the workspace runs smoothly
Serve as the first point of contact for visitors, clients, and staff, managing a multi-line phone system with professional phone etiquette
Keep filing systems, data entry, and spreadsheets organized using Microsoft Office and Google Sheets
Manage calendars and scheduling for meetings, appointments, and company events
Handle certified payroll, prevailing wage as. well as basic bookkeeping in QuickBooks, including invoicing and expense tracking
Prepare documents and handle the clerical work that keeps the office moving day to day
Set up new hires' workspaces and support onboarding and orientation
Keep communication clear between departments and with outside clients

QUALIFICATIONS

5+ years of experience in a leadership, management experience.
3+ years of bookkeeping & payroll experience, including proficiency with QuickBooks
A steady, positive presence — someone who brings calm and clear thinking to a busy office
Working knowledge of California HR laws and regulations, with a commitment to staying current on them
Strong knowledge of HR and office management systems and procedures
Comfortable with standard office equipment — laptops, printers, multi-line phone systems, and related technology
Proficient in MS Office, Google Suite, and other common business and scheduling platforms
Strong customer service skills and professional phone etiquette for front-desk and , customer and staff interactions
Excellent time management skills and the ability to prioritize
Minimum typing speed of 50 WPM
Sharp attention to detail and strong problem-solving skills
A forward thinker who can plan strategically and follow through on execution
High level of empathy, kindness, professionalism, integrity, and self-direction
Excellent written and verbal communication skills
Strong organizational skills and the ability to manage multiple priorities at once

HOW TO APPLY

Phase Two: Video/Zoom Interview

Qualified applicants will be contacted to schedule a 20-30 minute video interview with the our recruiter.

Phase Three: In-Person Interview

Selected applicants will meet with the owner and other team member for a 45- to 60-minute in-person interview.

Phase Four: Working Interview

Finalists will be asked to complete a short interview project or on site shadowing appointment, requiring approximately two hours of personal time.

Phase Five: Reference Checks

Reference checks will be completed by the recruiter. Applicants are to provide 3 - 5 professional references.

Phase Six: Follow Up Call

The recruiter and/or owner will facilitate final questions, discuss logistics, timing, etc involved in potential onboarding, expectations, etc.

Phase Seven: Offer

Finalists: The recruiter will follow up with any remaining questions and detailed next steps process.
