Full Job Description

Synology is a leader in network-attached storage (NAS) devices, IP surveillance solutions, and network equipment. We are looking for an energetic, detail-oriented Entry-Level Operations Specialist to join our Distribution Team. This role is pivotal in ensuring our supply chain runs smoothly, from processing customer orders to tracking inventory across multiple channels and warehouses.

Position Summary

The Operations Specialist will handle outbound order execution, data entry across enterprise systems, warehouse coordination, and inventory tracking. The ideal candidate is structured, comfortable with repetitive but high-impact routine tasks, and eager to learn the ins and outs of global distribution and logistics.

Key Responsibilities

1. Outbound Order Execution & Processing

Order Triage & Allocation: Reviewing and processing all incoming orders accurately., including but not limited to confirming contact and billing information, pricing, promotions, as well as purchasing order terms and conditions.
Retail & Channel Fulfillment: Receive and distribute incoming orders, communicating order entry and fulfillment issues with Fulfilment Centers as required. Create and check order routing files for major retail and channel accounts, ensuring strict compliance prior to system uploads.
Warehouse Logistics: Generate and transmit timely shipping instructions to external and internal warehouse teams.
Data Maintenance: Keep outbound shipping trackers, LTL (Less-Than-Truckload) trackers, and channel logistics logs accurate and up to date.

2. Retailer Platform Operations

Major Account Coordination: Assist with e-commerce and retail fulfillment tasks, including processing orders via EDI, setting up routing references, and executing advanced shipping notices.
Seller Account Support: Handle entry-level merchant store tasks including inventory updates, goods receipts, and vendor portal notifications.

3. Inventory Control & System Tracking

Stock Movements: Coordinate and record stock transfers between regional warehouses and rework facilities within the ERP system and external logs.
Inventory Reconciliation: Run stock comparisons across various warehouse locations and inventory pools to identify discrepancies.
Reporting: Assist in pulling data for inventory reports and highlighting aging or excess stock.

4. Customer & Partner Support

Inquiries: Monitor and respond to operational and logistics-related emails, online store inquiries, and sales chats regarding shipment status or discrepancies.
Issue Resolution: Track lost shipments and communicate with carriers to resolve delays.

Capability & Requirement Profile

Required Technical Skills & Platform Experience

Amazon Vendor Central: Hands-on experience or strong familiarity with the Amazon Vendor Central platform is highly preferred, specifically regarding direct-to-Amazon retail operations, purchase orders, routing, and chargeback prevention.
ERP Familiarity: Previous exposure to ERP systems (such as SAP) or a strong aptitude to learn complex enterprise software quickly.
Excel Proficiency: Intermediate Excel skills (VLOOKUPs, data filtering, formatting, and handling spreadsheets) are essential, as you will manage multiple tracking files.
Supply Chain Systems: Basic understanding of Electronic Data Interchange (EDI) systems and electronic retail vendor portals.

Core Behavioral Competencies

Meticulous Attention to Detail: High accuracy in entering alphanumeric data (serial numbers, PO digits, and SKU codes) where minor errors can delay a shipment.
Time Management & Reliability: Able to manage a rigid schedule of operational deadlines without dropping the ball.
Proactive Communication: Comfortable coordinating constantly via email and chat with disparate teams—including warehouse personnel, freight forwarders, and internal sales reps.
Adaptability: Comfortable working in a fast-paced environment where priorities can shift based on container arrivals, carrier delays, or sudden order surges.

Qualifications

Bachelor’s degree in Supply Chain, Logistics, Business Administration, or a related field (or equivalent practical experience).
0–2 years of experience in an office, logistics, or retail operations environment (internships count).
