Front Office Supervisor

Position Summary

The Front Office Supervisor is responsible for overseeing the daily operations of the Front Desk and ensuring exceptional guest service experiences. This role supports the Front Office Manager by supervising front desk staff, handling guest concerns, coordinating room assignments, and maintaining operational efficiency. The Front Office Supervisor serves as a leader on shift, ensuring hotel standards, policies, and procedures are consistently followed.

Key Responsibilities

Guest Service & Operations

Provide outstanding customer service and create a welcoming environment for all guests.
Supervise front desk operations, including check-ins, check-outs, reservations, and guest inquiries.
Resolve guest complaints and service issues promptly and professionally.
Monitor guest satisfaction and take proactive measures to improve the guest experience.
Ensure accuracy of guest accounts, room assignments, and billing procedures.
Coordinate with Housekeeping, Maintenance, Sales, and other departments to ensure seamless guest service.

Supervisory & Management Duties

Lead, coach, and support Front Desk Agents and other front office staff during assigned shifts.
Assist with hiring, onboarding, and training new team members.
Conduct shift briefings and communicate important operational updates.
Monitor employee performance and provide feedback to support professional development.
Assist management with scheduling, timekeeping, and staffing coverage.
Ensure compliance with company policies, brand standards, and safety procedures.
Act as Manager on Duty when assigned.

Administrative Responsibilities

Prepare and review daily operational reports.
Monitor cash handling procedures and ensure accurate balancing of front desk transactions.
Assist with forecasting occupancy and staffing needs.
Maintain inventory of front office supplies and equipment.
Support revenue management efforts by promoting room upgrades and hotel services.

Qualifications

Education & Experience

High school diploma or equivalent required; associate's or bachelor's degree in Hospitality Management preferred.
Minimum of 2-3 years of hotel front desk experience.
Previous supervisory or leadership experience preferred.
Experience with hotel property management systems (PMS) such as RoomMaster or StaynTouch.

Skills & Competencies

Excellent communication and interpersonal skills.
Strong leadership and team-building abilities.
Ability to manage multiple priorities in a fast-paced environment.
Strong problem-solving and conflict-resolution skills.
Proficiency in Microsoft Office Suite.
Strong organizational skills and attention to detail.
Ability to maintain professionalism and composure under pressure.

Physical Requirements

Ability to stand and walk for extended periods.
Ability to lift up to 25 pounds occasionally.
Ability to work evenings, weekends, holidays, and flexible schedules as business needs require.
