Job Summary

We are seeking a proactive and detail-oriented Appointment Scheduler to join our healthcare team. In this vital role, you will coordinate patient appointments efficiently, manage scheduling systems, and ensure seamless communication between patients and clinical staff. Your energetic approach will help optimize clinic operations, improve patient experience, and support the delivery of high-quality care. This position offers an exciting opportunity to contribute to a dynamic healthcare environment where organization and customer service excellence are paramount.

Responsibilities

Schedule patient appointments accurately using electronic health record (EHR) systems such as Epic, Meditech, Athenahealth, eClinicalWorks, or similar platforms.
Verify insurance coverage and perform insurance verification procedures to ensure smooth billing processes.
Manage multi-line phone systems with professional phone etiquette, addressing patient inquiries and redirecting calls as needed.
Review and update medical records, ensuring compliance with clinical confidentiality policies and HIPAA regulations.
Coordinate appointment times with clinical staff, balancing patient needs with provider availability to maximize clinic efficiency.
Assist with intake procedures, including collecting patient information and updating electronic health records (EHR).
Support administrative tasks such as filing, data entry (including 10-key typing), and maintaining organized medical documentation.

Skills

Experience working with EMR/EHR systems like Epic, Meditech, Athenahealth, eClinicalWorks, or Eaglesoft.
Excellent customer service skills with the ability to communicate effectively via phone and in person.
Proficiency in Microsoft Office applications for documentation review and office management tasks.
Bilingual abilities are a plus to serve diverse patient populations effectively.
Prior clinic or medical office experience is highly desirable, especially in scheduling or front desk roles within dental or medical clinics.
Familiarity with dental terminology and dental office management software such as Dentrix or Eaglesoft is advantageous for dental clinic settings.
Ability to handle sensitive information discreetly while adhering to HIPAA guidelines.
Strong organizational skills with attention to detail in managing multiple schedules and administrative responsibilities.
