Department: Online Admissions
Reports To: Director of Online Admissions
FLSA Status: Non-Exempt
Hours: Monday through Thursday 8:00 AM to 5:00 PM and Friday 8:00 PM to 3

PM (extended hours when requested)

Job Summary

The Waldorf University Admissions Counselor is responsible for providing exceptional customer service to prospective students throughout the entire admissions and enrollment process. This position supports prospective students from initial inquiry through each step of the admissions process, including application submission, document collection, and final enrollment. Under the direction of the Director of Online Admissions, the role ensures smooth transitions for students, guiding them from application submission through enrollment completion. The Admissions Counselor also provides timely assistance, answers questions, and ensures that all necessary steps are completed efficiently to facilitate successful student onboarding experience.

Essential Job Tasks

Additional duties may be assigned.

• Manages and maintains comprehensive lists of prospective students, setting and following up on appointments to ensure timely communication of admissions and application submission information. This includes a high volume of outbound phone calls and other communication methods to effectively contribute to individual and department conversion rates.

Develop and implement targeted outreach strategies to drive enrollment in assigned programs. This includes planning and executing communication activities, such as calls, texts, emails, and personal interactions, designed to engage prospective students and foster enrollment growth. Regular tracking and evaluation of outreach efforts will be expected to ensure progress toward key goals.

Maintains proficiency in relaying Waldorf’s programmatic offerings, emphasizing deep University and product knowledge, to accurately portray the entire admission and enrollment processes to prospective students.

Aids in application submission for potential students by accurately entering and reviewing student information in an internal database, including contact information, academic information, and detailed notes from interactions with current and prospective students.

Secures enrollment from prospective students by assisting them over the phone or in the prospect portal by relaying necessary information about the admissions process.

Reviews student information and transcripts to determine eligibility for acceptance and calculating grade point averages (GPAs) for incoming applicants as part of the admissions evaluation process, ensuring accuracy and consistency in academic assessments.

Assists with related and /or unrelated areas of the department upon need determined by the leadership team while maintaining the essential elements of the position.

Handles confidential information in a professional manner.

Promotes, maintains, and enhances workplace culture within the Admissions Department and Waldorf University.

Provides clear, accurate, and concise communication to prospective students by phone, e-mail, chat, and text, about pertinent admission information.

Returns any missed call, e-mail, or text, from prospective students by the appropriate communication outlet within 24-48 hours to provide answers to any potential questions.

Knowledge

English Language - Knowledge of the structure and content of the English language including the meaning and spelling of words, rules of composition, and grammar.

• Internal Processes - Knowledge of general admissions and enrollment processes.

Clerical - Knowledge of office administrative procedures including word processing, managing files and records, typing, and other office procedures.

• Computer - Knowledge of basic computer processes including word processing, web browsing, and Microsoft Office including Basic Microsoft Excel.

Education & Experience

A bachelor’s degree or equivalent combination of education and experience.

Previous experience in higher education admissions, customer service, or sales is preferred.

Strong communication skills (both written and verbal).

Experience with customer relationship management (crm) and student information systems (SIS) or related software.

Ability to work in a fast-paced environment and manage multiple priorities.

Equipment Used

Office equipment including computers, telephones, printers, faxes, and copiers.
Software use includes Microsoft Word, Excel, Outlook, Blackboard, and internal database software
Reliable and secure internet is required for this position.

Work Environment
