Job Overview

We are seeking a dynamic and highly organized Personal Assistant to provide comprehensive administrative support to senior executives and ensure the smooth operation of daily activities. This role is vital in managing schedules, coordinating projects, and handling confidential information with professionalism and efficiency. The ideal candidate will bring enthusiasm, exceptional organizational skills, and a proactive approach to facilitate executive success and enhance overall office productivity.

Duties

Manage and coordinate complex calendars, including scheduling meetings, appointments, and business travel arrangements using tools like Microsoft Outlook Calendar and Google Workspace.
Prepare, proofread, and transcribe correspondence, reports, and presentations with accuracy and attention to detail.
Organize and plan events, conferences, and internal meetings, ensuring all logistics are handled seamlessly.
Handle internal communication channels effectively to keep teams aligned and informed.
Maintain meticulous filing systems, data entry records, and manage confidential information with discretion.
Assist with bookkeeping tasks using QuickBooks and perform basic bookkeeping duties such as invoicing and expense tracking.
Support project coordination efforts by tracking deadlines, preparing materials, and collaborating with various departments.
Facilitate office management tasks including supply ordering, front desk responsibilities, multi-line phone system handling, and overseeing general clerical duties such as filing and document management.
Coordinate business travel arrangements using online booking tools while ensuring all itineraries are accurate.
Utilize video conferencing software for virtual meetings, ensuring technical setup is flawless for effective communication.

Skills

Proven experience as a Personal Assistant or Executive Assistant with strong office management skills.
Exceptional organizational skills with the ability to prioritize tasks efficiently in a fast-paced environment.
Excellent written and verbal communication skills coupled with professional phone etiquette.
Proficiency in productivity software including Microsoft Office (Word, Excel, PowerPoint), Google Workspace (Docs, Sheets), and Microsoft Outlook Calendar.
Technical proficiency in video conferencing tools such as Zoom or Teams; familiarity with DocuSign for electronic signatures is a plus.
Strong data entry skills combined with meticulous proofreading abilities to ensure accuracy in all documents.
Experience in event planning, project management, and collaboration with C-suite executives or senior leadership teams.
Ability to handle sensitive information discreetly while maintaining confidentiality at all times.
Knowledge of QuickBooks for bookkeeping tasks along with general clerical experience including filing, data entry, and customer service responsibilities.
