Position Summary
The Employee Events & Wellness Programs Coordinator is a resourceful, creative, and highly organized self-starter who thrives in ambiguity and is comfortable navigating evolving priorities with limited direction. Reporting to the Senior Program Manager, this role leads and manages the planning, coordination, and execution of global employee wellbeing experiences, programs, onsite and virtual events, wellness activations, engagement campaigns, and other related initiatives across program’s global locations.
Because travel is not anticipated, this individual must be skilled at executing events remotely by effectively partnering with onsite volunteers, site teams, Workplace Experience, regional stakeholders, and external vendors to deliver high-quality experiences in locations where they may not be physically present.
Serving as a central partner to internal and external stakeholders, the Coordinator supports the full event lifecycle—from intake and consultation through planning, execution, and post-event follow-up. The role is responsible for identifying appropriate programming, coordinating logistics, managing competing priorities, and ensuring a consistent, engaging employee experience across regions and locations.
The ideal candidate is highly organized, detail-oriented, creative, and passionate about employee engagement. They excel in a fast-paced environment, balancing stakeholder consultation, event planning, communications, project coordination, and operational execution. They are proactive problem-solvers who can work independently, adapt to changing business needs, leverage AI-powered tools to improve efficiency and outcomes, and successfully deliver programs with limited resources and significant autonomy.
Key Responsibilities
Event Planning & Execution (60%)
Event Management
- Lead the planning, coordination, and execution of onsite and virtual employee wellbeing events, workshops, speaker sessions, watch parties, activations, and engagement programs.
- Manage event logistics, timelines, registrations, run-of-show documents, planning tools, and execution checklists.
- Coordinate successful event delivery remotely through partnership with local site teams, volunteers, and vendors.
- Anticipate risks, troubleshoot issues, and develop solutions to ensure seamless execution.
Engagement & Community Building
- Support the delivery of engaging, inclusive, and impactful wellbeing programs that foster connection, participation, and community.
- Partner with stakeholders to align programming with employee interests, business priorities, and regional needs.
- Support global initiatives while enabling local relevance and flexibility across program locations.
- Identify opportunities to increase awareness, participation, and ongoing engagement in wellbeing programs.
Stakeholder Engagement & Communications (25%)
Stakeholder Partnership
- Partner with site leaders, Workplace Experience, HR, Internal Communications & Marketing and regional stakeholders to assess needs and recommend wellbeing programming.
- Partner with employee ambassadors, volunteer networks, and local champions to support program delivery, increase engagement, and create community-driven wellbeing experiences.
- Manage event intake requests and planning consultations.
- Guide stakeholders through available offerings, planning requirements, timelines, and best practices.
Communications & Promotion
- Develop and coordinate communications supporting events, campaigns, and employee engagement initiatives.
- Create promotional content for newsletters, Viva Engage, email campaigns, digital signage, and other communication channels.
- Manage communication schedules and promotional timelines to maximize participation and awareness.
Operations, Vendor Management & Continuous Improvement (15%)
Vendor & Program Operations
- Coordinate vendors, speakers, service providers, and event partners.
- Support procurement, fulfillment, promotional items, event materials, and operational readiness.
- Build and maintain strong working relationships with internal and external partners.
Reporting & Process Improvement
- Track participation, engagement metrics, and stakeholder feedback.
- Maintain event calendars, planning documents, project trackers, and event recaps.
- Develop templates, playbooks, and standard operating procedures.
- Identify opportunities to improve scalability, efficiency, and program effectiveness.
Required
- Bachelor's degree in Health Promotion, Public Health, Communications, Event Management, Exercise Science, Business, or a related field.
- 2-4 years of experience coordinating events, wellness programs, employee engagement initiatives, communications, or related projects.
- Experience supporting a global workforce, with a strong appreciation for cultural differences and the ability to adapt programs, communications, and engagement strategies to meet the needs of diverse employee populations.
- Exceptional organizational and project management skills, with strong attention to detail.
- Strong written and verbal communication skills.
- Ability to manage multiple projects simultaneously while meeting deadlines.
- Proficiency with Microsoft Office Suite, such Excel, PowerPoint and Planner, and collaboration tools, such as Microsoft Teams, Viva Engage, SharePoint, newsletters platforms, or similar communication channels.
- Ability to leverage the latest AI-powered technologies to enhance efficiency, innovation, and outcomes.
Preferred
- Corporate wellbeing, employee engagement, health promotion, or workplace events experience.
- Proven ability to think creatively, pilot new ideas, and adapt quickly while maintaining a positive, solutions-oriented mindset.
- Experience supporting global, regional, or multi-site programs.
- Experience creating or coordinating internal communications and promotional campaigns.
- Experience coordinating vendors and external partners.
- Interest in wellbeing topics such as physical, emotional, financial and social wellbeing.
Pay: $70,000.00 - $72,000.00 per year
