Full Job Description

POSITION OVERVIEW

The Tax & HOA Resolution Specialist supports mortgage investors by researching, validating, and resolving all property tax and association obligations throughout the foreclosure and REO lifecycle. This position plays a key role in preventing lien exposure, reducing risk, and ensuring compliance with applicable statutes, governing documents, and client requirements. Specialists manage a high-volume queue, work within multiple workflow systems, and engage directly with taxing authorities, HOAs, management companies, and attorneys. Strong investigative skills, organization, and clear communication are essential.

Phoenix Asset Management (PAM) delivers specialized mortgage services across the full REO asset lifecycle, managing properties from eviction through preservation, valuation, marketing, offer management, and final disposition while maintaining strong operational oversight and compliance throughout. PAM also oversees end-to-end tax and HOA account management, helping investors reduce risk and support smooth, successful asset resolution.

KEY RESPONSIBILITIES

Tax Resolution

Manage daily tax-related tasks and updates in workflow systems.
Research taxing authorities using internal references and public record tools.
Identify amounts due, installment schedules, delinquency status, liens, and payment requirements.
Create and maintain accurate tax records including contact details, payment frequency, coverage dates, and supporting documentation.
Prepare check requests and verify accuracy prior to QC submission.
Complete tax deliverables in system workflows and monitor ongoing obligations to ensure properties remain current.

HOA Resolution

Determine HOA or COA status through system data, title documents, valuations, and independent research.
Obtain ledgers, payoffs, governing documents, W-9s, and special assessment details.
Review payoffs for compliance with state statutes and governing documents.
Negotiate with associations or attorneys when charges require adjustment.
Process estoppel payments, including third-party fees, and maintain complete documentation.
Establish and monitor recurring HOA payment schedules and coverage periods.
Prepare complete files for QC review and ensure accuracy in all fields.

GENERAL RESPONSIBILITIES

Communicate professionally with external parties and internal teams.
Maintain accurate notes and documentation in all systems.
Prioritize a high-volume pipeline and consistently meet required turnaround times.
Identify issues or risks and escalate appropriately for resolution.
Adhere to all investor, regulatory, and internal process requirements.

QUALIFICATIONS, KNOWLEDGE, AND SKILLS

Understanding of REO asset management, foreclosure processes, title and tax review, HOA/COA requirements, and other related default servicing operations.
Ability to analyze ledgers, invoices, statutes, governing documents, and payoff statements.
Prior experience or ability to learn workflow platforms such as Podio and Equator.
Proficiency with Excel.
Strong attention to detail with accurate data entry and documentation management.
Ability to work under strict deadlines in high-volume environments.
Strong written and verbal communication skills.

EDUCATION AND EXPERIENCE

High School Diploma or GED required.
2+ years of experience in REO, title, tax, HOA/COA, property preservation, or similar default servicing functions is highly preferred.
Previous FNMA file or workflow experience is highly preferred.

PHYSICAL AND REMOTE WORK REQUIREMENTS

Prolonged periods of computer use in a secure, private workspace.
Reliable, high-speed internet connection.
Reliable mobile device and service.
Availability to remain responsive through email, phone, and messaging during business hours.

Starting pay rate: $22 hourly, commensurate with experience and dependent on location.
