Administrative & Operations Coordinator – Biotechnology

Full-time, remote within the United States
Reports to the Senior HR Manager
Bilingual proficiency in English and Mandarin Chinese is a plus.
Occasional early-morning or evening meetings to align with China and Europe time zones

Newave Pharmaceutical Inc. is seeking a highly organized and proactive Administrative & Operations Coordinator to support its growing U.S. operations. This cross-functional role will coordinate contracts, meetings, onboarding, IT access, compliance records, payments, vendors, travel, and administrative follow-up across the United States, China, and Europe.

Position Summary

The Administrative & Operations Coordinator will provide day-to-day administrative and operational support across Newave's Operations.

Key Responsibilities

· Maintain accurate trackers and organized electronic files for contracts, amendments, signatures, renewals, approvals, and other key documents.

· Coordinate meetings across U.S., Chinese, and European time zones, including invitations, agendas, meeting links, reminders, materials, minutes, and action-item follow-up.

· Support employee onboarding and offboarding, including email and Microsoft 365 accounts, shared-folder access, software licenses, distribution lists, laptops, and account deactivation.

· Track compliance training, policy acknowledgments, certifications, insurance renewals, and other recurring deadlines; retain records and follow up on overdue items.

· Process and track invoices, payment requests, expense reports, reimbursements, vendor documentation, honoraria, tax forms, and related supporting records.

· Coordinate travel, conference registrations, hotel and flight logistics, meeting arrangements, business meals, and reimbursement documentation.

· Prepare routine emails, Lark communications, reminders, briefing materials, and status updates in English; support Chinese-language communications when needed and based on proficiency.

· Support administrative follow-up with employees, clinical sites, CROs, vendors, investigators, legal counsel, finance, advocacy organizations, and other external partners.

· Support the clinical team’s eTMF filing and document organization.

Qualifications

Required:

· Bachelor's degree or equivalent relevant experience.

· Three or more years of relevant experience in administration, operations, project coordination, executive support, HR operations, clinical operations support, or a related field.

· Strong organizational skills and the ability to manage multiple deadlines, trackers, and follow-up items.

· Excellent written and verbal communication skills in English.

· Proficiency with Microsoft 365, Outlook, Word, Excel, PowerPoint, OneDrive, Teams, and shared document systems or equivalent tools.

· High attention to detail and sound judgment when handling confidential or sensitive information.

· Ability to work independently in a remote environment and coordinate effectively across functions and time zones.

Preferred:

· Mandarin Chinese proficiency is a plus.

· Experience in biotechnology, pharmaceuticals, clinical research, healthcare, or another regulated industry.

· Experience with contract tracking, onboarding/offboarding, vendor coordination, compliance training, invoices, expense reports, or corporate records.

· Familiarity with clinical-trial terminology, CROs, investigators, clinical sites, eTMF systems, or committee administration.

Compensation and Benefits

The anticipated base salary range for this position is $62,000 to $85,000 per year. Actual compensation will depend on experience, qualifications, and geographic location. Newave also offers medical, dental, and vision coverage, a 401(k) plan, and paid time off.
