Watson Powers is a fast-growing coaching company seeking a highly organized, dependable, and proactive Real Estate Virtual Assistant to provide operational, financial, administrative, client, and marketing support to executive leadership.

This is far more than a traditional administrative role. You'll become a trusted partner who helps leadership stay focused by keeping daily operations organized, projects moving forward, and business systems running efficiently.

We're looking for someone who enjoys taking ownership, anticipating needs, and creating structure in a fast-paced, high-performance environment.

As the business grows, you'll have opportunities to take on additional responsibilities and expand your impact across the organization.

What You'll Be Doing

As our Real Estate Virtual Assistant, you'll support executive leadership across multiple areas of the business, ensuring operations remain organized, clients receive exceptional service, and internal processes continue running smoothly.

Every day will be different, requiring strong communication, sound judgment, attention to detail, and the ability to balance multiple priorities with confidence.

You'll work closely with leadership, accounting, operations, marketing, and client-facing teams to help the business operate efficiently and continue growing.

Key Responsibilities

Finance & Administrative Support

Manage company credit card activity and expense tracking
Reconcile transactions and prepare recurring expense reports
Investigate denied, disputed, or failed charges
Coordinate with accounting and bookkeeping partners
Track vendor invoices and payment schedules
Manage company software subscriptions and business tools
Maintain accurate financial records and documentation

Client & Executive Support

Follow up with clients regarding documentation, payments, or missing information
Coordinate client onboarding and offboarding
Manage executive calendars and scheduling
Screen and prioritize emails and communications
Draft professional correspondence on behalf of leadership
Prepare meeting agendas and record detailed meeting notes
Track action items and ensure timely follow-up

Operations Support

Track KPIs and prepare operational reports
Monitor deadlines across departments
Maintain CRM, workflow, and project management systems
Support leadership with planning and execution
Anticipate operational challenges before they become problems
Assist with onboarding new clients and team members

Marketing Support

Coordinate email marketing campaigns
Schedule social media content and monitor engagement
Assist with marketing assets, graphics, and promotional materials
Organize digital brand resources
Coordinate launches, promotions, and webinars
Track marketing performance metrics

Brand & Quality Control

Ensure brand consistency across communications
Review documents for accuracy and quality
Maintain SOPs and internal documentation
Organize testimonials, reviews, and case studies

Webinar Coordination

Coordinate monthly webinars from planning through follow-up
Manage registrations and attendee communications
Organize presentation materials and promotional assets
Continuously improve webinar processes and systems

You'll be comfortable learning and working with:

CRM platforms

Financial and expense tracking tools
Google Workspace

Productivity and workflow systems

Experience with these tools is preferred, but strong technical aptitude and the ability to learn quickly are equally valuable.

Qualifications

We're looking for someone who has:

Experience as a Real Estate Virtual Assistant, Operations Coordinator, Operations Manager, Marketing Coordinator, or similar role
Excellent organizational and time management skills
Strong written and verbal communication
Exceptional attention to detail
Ability to maintain confidentiality and professionalism
Experience working with CRMs, project management systems, and business software
Basic familiarity with marketing and design platforms
Confidence working in a fast-paced, performance-driven environment
