Full Job Description

Job Overview

I am seeking a dynamic and detail-oriented Mental Healthcare Administrative Assistant to join me in my private psychiatric practice for women and gender diverse individuals. In this vital role, you will serve as the backbone of my administrative operations, focusing on medication prior authorizations, FMLA, disability and medical accommodations paperwork, letters and communication with employers, HR, schools and other healthcare providers. Your energetic approach and detailed oriented approach will allow me to focus on patient care. This position offers an exciting opportunity to develop your skills within a fast-paced healthcare setting while making a meaningful difference in patients’ lives. Initially the position will be paid fee per/task (ex FMLA packet-$40) once more hours become available an hourly rate can be negotiated.

Responsibilities

Manage prior authorizations
Handle internal communication between medical staff, patients, billing and external partners with clarity and professionalism
Assist with FMLA and disability paperwork
Assist writing letters to HR/employers, and schools for leave of absences and return to work documentation
Provide excellent customer service by answering phone inquiries, addressing patient concerns, and guiding clients through administrative procedures
Support the medical team by preparing documentation, managing correspondence, and facilitating smooth clinic operationsRequirements
Proven administrative experience within healthcare environments or related fields
Proficiency in Microsoft Office Suite (Word, Excel, Outlook) for documentation and communication tasks
Knowledge of the DSM 5, Covermymeds and medical terminology
Experience with electronic health records (EHR) management systems and data entry accuracy
Excellent written and verbal communication skills for client interaction and internal coordination
Ability to manage schedules effectively while handling multiple priorities in a fast-paced setting
Demonstrated customer service skills with a professional yet approachable demeanor
