Research Operation Coordinator – NIH Minority Health Study

Overview

Dance4Healing, a Harvard/Stanford digital health startup funded by NIH, is seeking a Research Operations Coordinator to support an active National Institute on Minority Health and Health Disparities (NIMHD) study focused on health equity, behavioral engagement, and culturally responsive telehealth.

This role combines research coordination, operational problem-solving, and cross-functional execution in a fast-moving startup research environment. You will play a central role in ensuring study quality, progress, and compliance.

About Dance4Healing

Dance4Healing (D4H) is an award-winning social impact venture founded by a behavior design expert and cancer survivor. We build AI-powered telehealth platforms that combine music, movement, and human connection to improve health outcomes.

Our work has demonstrated strong participant outcomes and engagement, including a Net Promoter Score of 91 in a Stanford Cancer Supportive Care Program.

You’ll work with a small, multidisciplinary team across research, behavioral science, product, and data/AI—where coordination and execution directly impact study success.

What You’ll Do

Coordinate day-to-day study operations and execution
Develop strong familiarity with study protocols and ensure execution aligns with requirements, timelines, and participant protections
Support IRB submissions, documentation, and regulatory compliance
Manage participant recruitment, onboarding, registration, and follow-up tracking
Support and refine recruitment strategies to improve engagement, retention, and completion rates
Serve as a coordination hub across investigators, partners, staff, and participants
Ensure study data, documentation, and workflows are complete, accurate, and audit-ready at all times
Review study data for accuracy and protocol alignment before or during entry into study systems
Track study progress, identify operational risks or bottlenecks, and proactively resolve or escalate issues
Organize and maintain study trackers, logs, and documentation systems
Facilitate communication, scheduling, and follow-through across research partners
Use GenAI tools (e.g., ChatGPT, Claude, Gemini) to accelerate coordination, screening, documentation, and workflow organization—while maintaining accuracy, confidentiality, and careful human review

This is not a passive coordination role—you will play a central role in keeping the study on track and ensuring execution quality.

What Success Looks Like (First 60–90 Days)

Participant recruitment and onboarding processes run smoothly and on schedule
Study documentation and compliance requirements are consistently maintained
Data workflows are organized, accurate, and audit-ready
Communication across stakeholders is clear, proactive, and reliable
Operational risks are identified early and addressed effectively

Required Qualifications

Bachelor’s degree in public health, psychology, social science, health administration, business administration, or related field
Experience supporting clinical, behavioral, public health, or community-based research
Strong organizational skills and attention to detail
Excellent communication and coordination skills
Familiarity with IRB processes and research compliance standards
Ability to manage priorities independently in a remote environment
Experience using GenAI tools such as ChatGPT, Claude, Gemini, or similar platforms to accelerate coordination, screening, and documentation workflows
Strong judgment, discretion, and reliability in handling sensitive information

Nice to Have

Experience with NIH-funded or academic research studies
Familiarity with Good Clinical Practice (GCP) or similar standards
Experience with digital health, telehealth, or community-based research
Experience working with spreadsheets, forms, trackers, or research systems
Experience supporting candidate or participant screening and triage workflows
Strong judgment in using GenAI as a productivity tool without replacing human review
