Job Description

We are seeking a dependable and detail-oriented Scheduling Coordinator to support daily operations for a multi-region surgical assistant staffing company. This role is responsible for coordinating surgical case coverage, responding to real-time schedule changes, and ensuring qualified surgical assistants are appropriately assigned based on credentials, proximity, facility requirements, and surgeon preferences. The Scheduling Coordinator plays a critical role in maintaining continuity of care, managing last-minute adjustments, and collaborating with a team in a fast-paced healthcare environment. This position requires strong problem-solving skills, clear communication, and the ability to make sound decisions under time-sensitive conditions.

Key Responsibilities:

Scheduling & Case Coordination

Assign surgical assistants to cases based on availability, credentials, specialty, and facility requirements
Manage add-on cases and last-minute schedule changes while minimizing disruptions
Assess assistant proximity and travel feasibility to ensure timely case coverage
Understand that scheduling decisions often create a chain reaction and plan assignments accordingly

Surgeon & Facility Requirements

Document and apply surgeon-specific preferences or restrictions when assigning cases
Ensure all assistants assigned are properly credentialed for the facility and procedure type
Communicate clearly with surgeons’ offices and facilities when clarification is needed

Communication & Team Collaboration

Handle inbound scheduling-related phone calls and emails
Communicate schedule updates promptly to surgical assistants and internal team members
Participate in structured shift handoffs to ensure seamless transitions between schedulers
Collaborate closely with fellow schedulers and leadership to resolve conflicts and prioritize coverage

Problem Solving & Decision Making

Make quick, informed decisions in a high-volume, time-sensitive environment
Evaluate downstream impacts of schedule changes before executing assignments
Assist with urgent scheduling needs when coverage gaps arise

Documentation & Systems

Maintain accurate scheduling records in internal systems
Ensure face sheets and case times are completed and submitted for billing
Follow up with assistants regarding missing or incomplete documentation
Utilize internal tools such as mapping software, scheduling platforms, and phone systems to support daily operations

Training & Onboarding

Participate in a structured onboarding and training program (approximately 3 months)
Receive hands-on mentorship and ongoing support
Build proficiency over time through real-world scheduling scenarios

Non-Essential Function:

Other duties and projects as needed

Qualifications

Strong organizational and time-management skills
Ability to remain calm and effective under pressure
Excellent written and verbal communication skills
High attention to detail and accountability
Comfortable working independently in a remote environment
Prior experience in healthcare scheduling, staffing, dispatch, or logistics preferred but not required

Work hours: Noon – 8:00 PM CST
