ABOUT THE COMPANY
Independent Restoration Services (IRS) is a fast-growing disaster restoration company — water, fire, smoke, mold, and biohazard mitigation, with rebuild and roofing as expanding service lines. We operate through roughly 50 separate legal entities across 20+ states, each market structured as its own LLC with local owner-operators, supported by a shared-services back office ("Holdings") that provides insurance, technology, marketing, and payroll administration.
We’re growing fast — launching new markets monthly — and our finance function needs to catch up to the size of the business. This role exists to build that function, not just maintain it.
ROLE SUMMARY
The Director of Finance owns the accounting and finance operation end-to-end: monthly close across all entities, payroll administration, multi-state tax compliance, and the accuracy of the financial reporting that leadership and market owners actually make decisions from. The Director of Finance is expected to build repeatable processes where today there is manual effort and institutional knowledge held in individual heads.
This is a hands-on role at a company that is still building its systems. The right person is comfortable doing the work and improving how the work gets done.
CORE RESPONSIBILITIES
Multi-Entity Accounting & Close
- Own the monthly close across ~50 legal entities in accounting platform, producing accurate, timely market-level and consolidated financial statements
- Maintain intercompany accounting — "due to / due from" balances between Holdings and individual markets covering equipment financing, vehicle debt, new-market funding, and shared-service fee allocations
- Ensure balance sheets reconcile and that fixed assets (vehicles, equipment, capitalized software) are properly capitalized and depreciated rather than expensed
- Own bank reconciliation across 50+ accounts, including resolving bank feed and sync issues with our banking partner
- Produce and defend the numbers: leadership will ask why a figure moved, and this position should know before being asked
Payroll
- Administer payroll across all entities as we complete our centralization project, with each market LLC remaining its own legal employer (separate EINs, W-2s, state registrations)
- Manage the mix of W-2 employees, 1099 contractors, and owner distributions/draws, ensuring each is classified and recorded correctly
- Partner with leadership on our ongoing worker classification review, converting roles from 1099 to W-2 where appropriate and defensible
- Own payroll tax deposits and filings — accuracy and timeliness here is non-negotiable
Multi-State Tax Compliance
- Own our multi-state footprint: state income/franchise tax, sales and use tax where applicable, state withholding and unemployment registrations, and nonresident member withholding for pass-through entities
- Maintain a compliance calendar so filings and registrations are proactive rather than reactive
- Lead tax preparation and K-1 issuance to member/owners; coordinate with external CPA firm and manage notices from state or federal agencies
- Manage entity setup requirements for new market launches (EIN, state registrations, tax accounts) in partnership with operations and compliance
Accounts Receivable & Cash
- Own AR aging and collections process across markets, including a disciplined write-off and reserve methodology rather than ad hoc annual cleanup
- Monitor market-level cash positions and flag risk before accounts overdraw
- Manage recurring intercompany fee transfers (management, insurance, technology, payroll admin) on schedule
Strategic Finance Leadership
- Track cash flow across all entities, analyze cash forecasting, and provide ownership with actionable insights on liquidity and working capital management
- Develop annual budgets and financial forecasts at both market and consolidated levels; support ongoing variance analysis and strategic planning
- Build documented process and desk procedures so the finance function doesn’t depend on any one person’s memory
Systems & Process Improvement
- Own our accounting platform environment across all entities, including chart of accounts consistency and data hygiene
- Identify and implement automation opportunities (AP automation, expense and card management platforms, payroll integration) to reduce manual effort
- Participate in evaluating whether and when we outgrow our accounting platform for a true multi-entity ERP
REQUIRED QUALIFICATIONS
- 7+ years progressive accounting experience, including 3+ in a Director of Finance, Controller, or senior accounting management role
- Demonstrated multi-entity accounting experience — consolidations, intercompany transactions, and entity-level reporting
- Multi-state tax compliance experience (payroll tax, state registrations, nexus considerations)
- Full-cycle payroll ownership, including W-2 and 1099 classification issues
- Strong accounting platform proficiency
- Develop and monitor key performance indicators (KPIs) by location and service line (e.g., gross margin, utilization, days sales outstanding)
- Strengthen internal controls, accounting policies, and financial processes to support a multi-location or multi-entity operation
- Comfort operating in a company where process is still being built — this is not a role stepping into a mature, fully documented finance function
PREFERRED QUALIFICATIONS
- CPA (active or inactive) or CMA
- Experience with an ERP implementation or migration (NetSuite, Sage Intacct, Intuit Enterprise Suite)
- Prior experience supporting a business through rapid multi-state expansion
COMPENSATION & BENEFITS
Base Salary. $150,000, commensurate with experience and credentials.
Performance Incentive. Annual bonus tied to the outcomes outlined below — close reliability, compliance posture, and process maturity — with the structure reviewed and expanded as the finance function grows.
On-Target Earnings (OTE). $200,000, annual.
Growth Path. This role is scoped to expand. As the business scales and the finance function matures, there is a clear path toward broader financial leadership for the right person.
WORK ARRANGEMENT
This is a fully remote, full-time W-2 position. We have a strong preference for candidates based in Tennessee or within the Central Time zone, given our headquarters location and the daily overlap this role requires with ownership and our market operators. That said, we will make exceptions for the right person — demonstrated experience, genuine enthusiasm for the work, and the capability to operate independently matter more to us than location.
Occasional travel to the Nashville / Franklin, TN area may be requested for planning sessions, close reviews, or team onboarding.
WHAT SUCCESS LOOKS LIKE
First 90 Days. Fully up to speed on our entity structure and our accounting platform environment. Monthly close running on a predictable calendar. A clear, documented assessment of what is currently inaccurate or unreconciled, with a prioritized plan to fix it.
First 6 Months. Financial statements leadership can trust without independent verification. Payroll centralization complete or near-complete. Compliance calendar established across all states. Bookkeeper’s scope meaningfully expanded.
First 12 Months. Finance operating as a functioning department rather than a set of manual workarounds. Automation implemented where it makes sense. The business’s growth no longer bottlenecked by accounting capacity.
Pay: $150,000.00 - $200,000.00 per year
