Full Job Description

Position Summary

The Events & Guest Services Coordinator plays a vital role in creating exceptional experiences for Museum guests, clients, volunteers, educators, and community partners. This position supports the planning, coordination, and execution of private rentals, Museum events, educational programs, volunteer activities, and guest services while ensuring every interaction reflects the National Automobile Museum's commitment to exceptional hospitality and service.

Working closely with the Events Manager and collaborating with all Museum departments, this position serves as a key liaison between clients, volunteers, vendors, educators, and staff to deliver memorable experiences from initial planning through successful event completion.

Essential Duties & Responsibilities

Event Planning & Coordination

Assist the Events Manager in planning and executing private rentals, fundraising events, member programs, public events, and internal Museum activities.
Serve as a primary point of contact for event clients by confirming event details and maintaining clear, professional communication throughout the planning process.
Prepare event orders, timelines, room layouts, setup diagrams, and event documentation.
Coordinate event logistics with Museum departments, vendors, caterers, entertainers, and outside service providers.
Schedule and coordinate staff and volunteer assignments for events.
Oversee event setup, execution, and breakdown to ensure events meet client expectations and Museum standards.
Maintain event equipment, supplies, inventory, and storage areas.
Assist with post-event evaluations and identify opportunities for continuous improvement.

Guest Services & Volunteer Coordination

Recruit, schedule, and communicate with Museum volunteers for events and special programs.
Prepare and distribute volunteer schedules while ensuring adequate staffing for Museum activities.
Respond promptly to volunteer questions and provide ongoing support.
Assist with volunteer orientation, recognition activities, and retention efforts.
Gather volunteer feedback and provide updates during staff meetings.
Help cultivate a positive and rewarding volunteer experience.
Deliver exceptional guest service by assisting visitors, event clients, and tour groups with professionalism and enthusiasm.
Serve as a Museum ambassador, ensuring every guest enjoys a welcoming and memorable experience.

Client & Vendor Relations

Build positive relationships with clients, vendors, sponsors, and community partners.
Coordinate vendor deliveries, setup schedules, and on-site logistics.
Attend community networking opportunities and outreach events to promote the Museum's event services.
Provide exceptional customer service while representing the Museum in a professional manner.

Education & Group Programs

Support outreach efforts and communications with schools and community organizations.
Serve as an on-site contact during educational visits to ensure a positive experience for teachers, students, and tour groups.
Coordinate logistics with Museum educators and operations staff.
Support staff as needed in the role of Field Trip Lead/Tour Guide.

Administrative Responsibilities

Maintain event calendars, contracts, databases, and reservation records.
Assist with invoices, event documentation, reports, and correspondence.
Collaborate with all Museum departments to support daily operations and visitor experience initiatives.
Perform other duties as assigned to support Museum operations.

Qualifications

Education

High school diploma or equivalent required.
Associate's degree or coursework in Hospitality, Event Management, Communications, Marketing, Business, or a related field preferred.

Experience

One to three years of experience in event planning, hospitality, customer service, volunteer coordination, or a related field.
Experience working directly with clients, vendors, volunteers, or the public.
Experience coordinating multiple events or projects simultaneously preferred.

Knowledge, Skills & Abilities

Outstanding organizational and time-management skills.
Strong written and verbal communication abilities.
Excellent customer service and interpersonal skills.
Ability to remain calm and professional in fast-paced environments.
Strong problem-solving and decision-making abilities.
Ability to prioritize multiple assignments while meeting deadlines.
Team-oriented with the ability to work collaboratively across departments.
Proficiency with Microsoft Office (Word, Excel, Outlook, PowerPoint).
Experience with event management, reservation, CRM, or scheduling software is a plus.
Valid Nevada driver's license preferred.

Physical Requirements

Ability to lift and carry up to 25 pounds.
Ability to stand and walk for extended periods during events and educational programs.
Ability to assist with moving tables, chairs, displays, audio-visual equipment, and event materials.
Ability to work both indoors and outdoors in varying weather conditions while supporting Museum events.

Work Environment

This position frequently interacts with Museum visitors, members, donors, volunteers, vendors, educators, and community partners. Flexibility is essential, as work schedules include occasional evenings, weekends, and holidays to support Museum events, educational programs, and special activities.

Job Type: Full-time

Pay: $22.00 - $24.00 per hour
