Full Job Description

Job Overview:

The front desk representative interviews the patient or his/her representative to obtain identifying and verifying information, such as patient/s name, address, age, date of birth, social security number, occupation, insurance information and obtaining authorization to process all patient intake to the clinic as well as scheduling appointments. Must be able to operate a computer to input and retrieve data. Experience with an EHR system. Maintain proficiency in cardiology medical terminology. Other projects or assignments may be given with the expectations to be completed in a specified timeline. Intakes must be reliable and able to show up on time as the front desk has limited coverage. Time off requests require a 2 week notice and will be approved if coverage is available.

Primary Responsibilities:

Answers the phone and email, takes telephone messages and provides feedback and answers to patient/physician calls
Follows up with insurances to obtain insurance authorization for referrals if not already provided
Greet patients that walk in and check them in for their appointment, confirm demographics, obtain signed required forms, verify insurance, scan ID and insurance cards, and collect copays.
Schedule patient appointments via in person, over the phone, or through patient portal requests.
Check out patients by scheduling follow ups, testing, and printing lab orders ordered by the provider.
Call patients from incoming referrals to schedule new patient appointments.
Scan documents/medical records.
Use Electronic Health Records system to match physician availability with patient’s preferences to successfully schedule.
Performs other related duties as assigned or requested.

Basic math skills
Organization skills
Great customer service skills
Attention to detail
Ability to operate a computer and electronic medical record program
Ability to maintain confidentiality and abide by HIPAA requirements
Ability to pass annual departmental examination
Excellent verbal and written communication
Ability to multitask and to work independently with minimal supervision
Cardiology experience preferred
Team player and willingness to learn

Working Environment:

*Mental Demands Adequate to perform the essential functions of the job such as pressure to maintain patient flow, dealing with patients and guests under stress.
