Job Overview

We are seeking a dynamic and highly organized Office Manager to oversee the daily operations of a busy medical practice and ambulatory surgery center (ASC). This vital role combines healthcare management expertise with strong administrative and supervisory skills to ensure the smooth functioning of clinical and administrative functions. The ideal candidate will be passionate about providing exceptional patient care, maintaining compliance with healthcare regulations, and leading a dedicated team of healthcare professionals. Your leadership will foster a positive environment that promotes efficiency, accuracy, and high-quality service delivery.

Duties

Manage all aspects of office operations, including scheduling, patient flow, and administrative workflows to optimize clinic productivity.
Oversee fiscal management activities such as budgeting, financial reporting, billing processes, and expense control to ensure financial health of the practice.
Supervise healthcare staff including nurses, administrative personnel, and clinical support staff; facilitate training and professional development initiatives.
Ensure compliance with healthcare regulations including HIPAA, JCAHO standards, and state/federal health policies to uphold the highest standards of patient privacy and safety.
Oversee electronic health records (EHR) systems such as EMR/EHR platforms like Eaglesoft and Dentrix; manage medical records, medical billing, and patient management software.
Coordinate human resources functions including hiring, onboarding, performance evaluations, and conflict resolution to maintain a motivated team environment.
Maintain clinic operations by managing medical administrative support tasks such as patient scheduling, insurance verification, medical coding, and billing procedures.
Monitor clinic supply inventory levels; liaise with vendors for procurement ensuring cost-effective purchasing of medical supplies and equipment.
Implement quality assurance measures by conducting audits on medical records, billing accuracy, and compliance with healthcare policies.
Lead efforts in managed care negotiations and utilization management to maximize reimbursement rates while ensuring optimal patient care outcomes.

Experience

Proven experience in medical office management or healthcare practice management within a clinical or ASC setting.
Demonstrated supervisory experience managing multidisciplinary teams in a healthcare environment.
Extensive knowledge of medical office software systems such as EMR/EHR systems (including electronic health records management), and Microsoft Office Suite.
Strong understanding of healthcare regulations including HIPAA compliance, AAAHC accreditation standards, and health policy policies.
Background in fiscal management including budgeting, financial reporting, and medical billing processes.
Prior experience with dental clinics or acute/critical care environments is highly desirable.
Excellent managerial communication skills coupled with customer service expertise to foster positive relationships with patients and staff alike.
