Job Overview

We are seeking an energetic, organized, and customer-focused Assistant Manager to join our growing music school. This role combines customer service, organization, and daily operational support to create an exceptional experience for students, families, and teachers.

We’re looking for someone who is dependable, takes initiative, communicates openly, and enjoys building long-term relationships with our students, families, and team.

You will help coordinate the daily operations of the school, assist with student enrollment, support teachers in their daily schedules and communication, and ensure the front office runs smoothly. Owner Support & Communication

Serve as the primary point of communication with the owner regarding daily operations.
Keep the owner informed of important updates, concerns, and opportunities for improvement.
Maintain confidentiality regarding employee, student, and business matters.
Follow company policies consistently and support decisions made by the owner.
Escalate significant staff or parent concerns to the owner promptly.

Responsibilities

Welcome students and families with friendly, professional customer service.
Answer phone calls, emails, text messages, and online inquiries.
Schedule, reschedule, and confirm music lessons.
Enroll new students and explain lesson programs and policies.
Process tuition payments and maintain accurate student accounts.
Maintain organized student records and office files.
Coordinate the daily schedules and classroom assignments for teachers.
Communicate schedule changes, announcements, and important updates to teachers.
Lead brief weekly teacher meetings and share school updates.
Assist with recital planning, special events, and school activities.
Follow up with prospective students and trial lesson families.
Respond to parent questions and help resolve routine concerns.
Assist with social media updates and marketing projects.
Maintain a clean, organized, and welcoming school environment, including light daily cleaning such as vacuuming, wiping surfaces, tidying classrooms and the reception area, and cleaning/restocking the restroom as needed.
Ensure the school is opened and closed properly each day.
Notify the owner of operational, teacher, or customer issues that require additional attention.
Support a positive, professional, and family-friendly atmosphere for students, parents, and staff.
Build positive relationships with students, families, teachers, and the owner through professional communication and teamwork.

Experience

Customer service, office administration, or assistant manager experience in a retail, educational, or service-based environment preferred. Experience in a music or arts school is a plus.
Strong organizational and leadership skills with the ability to coordinate daily operations and support a team.
Excellent communication skills.
Comfortable learning scheduling, enrollment, and customer management software.
Experience handling office administration, customer payment processing, maintaining accurate records, and supporting payroll administration is a plus.
Ability to multitask efficiently with exceptional time management skills in a fast-paced environment.
Demonstrated organizational skills with experience in marketing campaigns and administrative responsibilities.
