Full Job Description

Job Summary
We are looking for someone that is dedicated, organized, has excellent communication skills, a positive attitude, motivation, an excellent multi-tasker and has the ability to handle sensitive information with confidentiality for this role.

Requirements

Welcome patients and visitors promptly by greeting them in a polite manner with a smile, in person or on the telephone (with proper phone etiquette) while scheduling appointments or taking messages; answering or referring inquiries.
Manage incoming calls and inquiries, directing them to the appropriate personnel.
Schedule appointments and maintain an organized work area for the office.
Collect and update patient information, including medical records.
Assist in maintaining an orderly front desk area and ensure all necessary supplies are stocked.
Provide support in administrative tasks such as data entry and managing correspondence.
Communicate effectively with patients regarding their inquiries, appointments, and follow-up care.
Utilize computerized systems for patient management and record keeping.
High school diploma or equivalent; additional certification in medical administration is a plus.
Previous experience in a medical office or similar environment preferred.
Familiarity with medical records.
Proficient typing skills with strong attention to detail.
Bilingual in Spanish is a plus but not required.
Excellent customer service skills with a friendly demeanor.
Strong organizational skills with the ability to multitask effectively in a fast-paced environment.
Comfort patients by anticipating patients' anxieties; answering patients' questions.
Communicate regularly with manager.
Contribute to team effort by being reliable and flexible, willing to learn, having a positive attitude, working well with others, maintaining a professional appearance and demeanor, having strong communication skills, keeping attention to detail, performing required tasks in a timely manner and accomplishing related results as needed.
Maintain operations by following policies and procedures; reporting needed changes.
Maintain confidentiality of practice, doctors and patient personal/financial information.
Verify and understand medical insurance and benefits.
Complete insurance verification for patients by calling insurance companies and using online tools in accordance with practice policy.
Input and verify insurance authorizations and referrals.
Estimate patient out of pockets for office visits and surgical procedures and inform patient in accordance with practice policy.
Maintain patient accounts by obtaining, recording, and updating personal and financial information accurately.
Collect patient payments at check in/out and schedule follow up appointment as needed.
Reconcile daily schedule, fee tickets and payments as needed.
Prepare daily reconciliation.
Scan patient registration forms, insurance cards as well as any other needed information as needed.
Keep patient appointments on schedule by notifying staff of patient's arrival; being aware of delays and communicating with patients and clinical staff as needed.
Ensure availability of treatment information by retrieving patient records as well as scanning them into electronic record.
Proficient in using computer systems for data entry and management tasks.
Other duties as may be assigned by Practice Manager or Physicians.
