Department: Operations
Location: Carrollton – Arrival 6:00 am
Reports To: Manager, Installation and Logistics Services

Summary

The Scheduler is a key member of the Operations team, responsible for coordinating delivery and installation schedules, including internal manpower, subcontractor, and vehicle assignments. This role ensures each project is staffed with the appropriate crew, equipment, and instructions based on the scope of work, required skillsets, jobsite conditions, safety requirements, and client timelines. The Scheduler serves as the primary scheduling contact for field crews and works closely with project management, warehouse, installation, and other internal teams to support job readiness, efficient execution, and client satisfaction.

The successful candidate is highly organized, communicates clearly, and can make sound decisions in a fast-paced environment while balancing changing priorities, labor availability, project budgets, and operational needs.

Key Responsibilities:

Scheduling & Coordination

Manage and maintain the installation and delivery schedule for all assigned projects, including internal crews, subcontractors, vehicles, and equipment.
Assign crews based on availability, required skillsets, certifications, project scope, jobsite requirements, and budget considerations.
Review installation packets, scopes of work, work orders, and supporting documentation before scheduling to confirm completeness and clarity.
Coordinate with project management, warehouse, installation, sales, design, and customer service teams to confirm material, labor, equipment, and site readiness.
Contact clients or designated project contacts to confirm delivery or installation readiness, address, access requirements, schedule, and scope of work.
Proactively identify and resolve scheduling conflicts, manpower shortages, equipment needs, and other issues that may affect execution.
Monitor job progress and adjust schedules as needed to reduce delays, manage changes, and maintain effective crew utilization.
Map daily crew assignments using sound logistical judgment, including travel time, geographic routing, job duration, and crew capabilities.

Field Communication & Documentation

Serve as the primary scheduling contact for field crews and provide clear final work order instructions, schedule details, and job-specific requirements.
Provide updated direction when field conditions or project changes require modification of the work order or schedule, coordinating with the appropriate project lead when approval is needed.
Review progress reports on the day following deliveries to ensure all required information has been provided and that the report is accurate, complete, and properly documented.
Interface with warehouse leadership to verify product receipt and readiness before delivery or installation.
Print pick tickets daily to ensure they are available for warehouse personnel to pull and prepare orders in a timely manner.
Communicate scheduling updates, changes, delays, and requirements promptly to internal teams, clients, crews, and subcontractors.

Subcontractor & Resource Management

Maintain professional working relationships with subcontractors and understand each partner’s capabilities, availability, certifications, and limitations.
Coordinate subcontractor assignments and confirm that required documentation, safety qualifications, and project instructions are in place.
Make labor, vehicle, and equipment decisions that support project requirements while adhering to job budgets and operational criteria.
Support continuous improvement by identifying opportunities for more efficient labor, fleet, and scheduling practices.

Client, Quality & Safety Support

Coordinate with project managers and field leadership to ensure client-specific requirements and timelines are reflected in scheduling decisions.
Support quality and safety initiatives through proactive planning, accurate crew assignments, and clear communication of project requirements.
Escalate job readiness, safety, scope, or scheduling concerns to the Manager of Installation and Logistics Services and appropriate project stakeholders.

Qualifications:

High school diploma or equivalent required.
2–4 years of experience in labor scheduling, logistics, project coordination, or workforce planning; experience supporting construction, furniture installation, or other field crews is preferred.
Experience scheduling labor crews and managing complex schedules across multiple labor sources.
Strong understanding of field installation workflows, jobsite requirements, and general delivery and installation practices.
Strong logistical knowledge of the applicable geographic delivery area.
Ability to make sound labor, vehicle, and equipment decisions while considering project scope, budget, schedule, and crew capability.
Excellent verbal and written communication skills with the ability to work effectively with field and office personnel.
Highly organized and detail-oriented, with the ability to manage multiple priorities and work professionally under pressure.
Strong judgment and ability to independently resolve difficult, changing, or multi-faceted scheduling challenges.
Proficiency with scheduling, job management, and standard office software.

Preferred Qualifications:

Commercial furniture industry experience.
Experience working directly with installation, construction, warehouse, or delivery crews.
Knowledge of OSHA requirements or relevant industry safety standards.
Bilingual English/Spanish communication skills.

Working Conditions:

Primarily office-based with occasional visits to warehouses and job sites.
May require flexible hours to respond to project needs, delays, schedule changes, or urgent field situations.

Pay: $60,000.00 - $65,000.00 per year
