Full Job Description

The Provisioning & Review Manager is responsible for overseeing third-party teams that support Provisioning & Video Reviews for global clinical trials. This role supervises the team in device provisioning, inventory control, domestic and international logistics, shipment tracking, and video review operations to ensure high-quality service delivery, regulatory compliance, and achievement of established service level agreements (SLAs).

The ideal candidate is a hands-on operations leader with experience in vendor management, analytics, and process improvement. This position serves as the primary operational liaison between internal teams, third-party vendors, and clinical sites to ensure efficient execution of Provisioning & Video Review operations.

Summary of Position

Device Provisioning & Logistics

Oversee third-party provisioning vendors responsible for preparing and shipping clinical trial devices.
Ensure accurate device provisioning, including device enrollment and removal from Mobile Device Management (MDM) systems.
Manage SIM card activation, assignment, and deactivation.
Maintain accurate inventory of mobile devices, accessories, and peripherals.
Monitor inventory levels and coordinate replenishment as needed.
Ensure all domestic and international shipping documentation is accurate and complete, including commercial invoices, pro forma invoices, customs documentation, and country-specific import requirements.
Coordinate shipment approvals and resolve customs or logistics issues.
Monitor shipment status using FedEx and other carrier tracking systems to ensure timely delivery and SLA compliance.
Investigate shipment exceptions and coordinate corrective actions.

Video Review Management

Oversee third-party teams responsible for reviewing participant medication adherence videos.
Ensure approximately 6,000 participant videos per month are reviewed accurately and within established service levels.
Verify the accuracy of Yellow, Orange, and Red system alerts and confirm that alert classifications are appropriate.
Monitor reviewer productivity, quality, and consistency through regular audits and performance metrics.
Coordinate escalations and corrective actions for quality or operational issues.
Independently analyze large amounts of visual data, review data, and dosing trends to interpret trends or patterns
Train a team to spot deception and usability errors in order to document observed activities in a standardized format
Understand study designs and intent in order to delegate and assign videos to the Video Review Team for timely review of suspicious behavior and efficient computer vision annotation.
Data input at a high level of accuracy
Understand our app’s logic and quickly identify and explain failure modes
Perform additional reviews or cross checks on team members’ data to provide corrections or feedback
Communicate with client personnel to share findings and assist in ensuring patient compliance
Document and convey findings in the most effective manner so as to impact and improve our technology
Onboard and manage new Video Reviewers and continuously act as an escalation point or coordinating review, answering questions, or organizing issues by level of urgency as needed
Maintain a consistent commitment to the privacy of patients and leading a team that prioritizes discretion
Recommend and level technologies including AI to optimize and streamline the video review processes

Other responsibilities

Manage the performance of third-party operational teams through defined KPIs and SLAs.
Conduct regular performance reviews and identify opportunities for continuous improvement.
Develop and implement operational procedures that improve efficiency, quality, and compliance.
Serve as the primary escalation point for provisioning, logistics, and Video Review issues.
Monitor key performance indicators related to provisioning, shipping, inventory, video review, and vendor performance.
Analyze operational trends and identify opportunities for process improvements.
Present operational metrics and recommendations to leadership.
Ensure compliance with company SOPs, GxP requirements, and quality standards.
Support audits, CAPAs, investigations, and root cause analyses.
Maintain accurate operational documentation and records.
Collaborate with Engineering, Clinical Operations, Customer Success, Quality Assurance, and Product teams to resolve operational issues and support new initiatives.

Required Qualifications

5+ years of experience managing Video review operations, logistics, provisioning, or clinical support teams.
Experience managing third-party vendors and outsourced service providers.
Strong knowledge of inventory management, shipping operations, and service level management.
Experience with domestic and international shipping processes and customs documentation.
Strong analytical, organizational, and problem-solving skills.
Excellent communication and leadership abilities.

Preferred

Experience supporting clinical trials or regulated healthcare environments.
Knowledge of Mobile Device Management (MDM) platforms.
Experience with FedEx Ship Manager or similar shipping platforms.
Experience with inventory management systems, Zendesk, Airtable, Google Workspace, Microsoft Office, and reporting tools such as Amazon QuickSite.
Familiarity with GxP, CAPA, and Quality Management Systems.

Inventory accuracy and asset accountability.
On-time and compliant domestic and international shipments.
Video review quality, productivity, and alert validation accuracy.
Vendor performance against established KPIs.
Timely resolution of operational issues.
Delivery of accurate operational reporting and actionable analytics.
Continuous improvement of operational processes that enhance efficiency, quality, and customer satisfaction.

Pay: $80,000.00 - $90,000.00 per year
