The Guest Experience Manager is responsible for creating an exceptional on-site experience for staff, guests, partners, and community members. This role combines front-of-house hospitality with programmatic and logistical support for events, meetings, and activations in our public-facing spaces. The ideal candidate is personable, proactive, detail-oriented, and energized by working with the public in a mission-driven environment.

RESPONSIBILITIES

Concierge & Guest Experience

Negotiates rental rates and contracts; collaborates with Finance team to record and track usage and revenue.
Oversees the schedule of events, communicating with Operations, IT and Finance about the needs of those renting VPM spaces.
Serves as the primary point of contact for visitors, providing a welcoming, inclusive and informative first impression.
Greets guests, answers questions, and directs visitors to scheduled events, studios, meetings, and offices.
Represents the organization’s mission, values, and programming with professionalism and warmth.

Space Activation & Events

Supports the planning, setup, execution, and breakdown of events, community gatherings, tours, and internal meetings.
Assists with room scheduling, space preparation, furniture setup, and basic A/V coordination.
Collaborate with programming, development, and engagement teams to activate spaces in ways that reflect our public service mission.
Helps ensure spaces are inviting, functional, and aligned with brand and accessibility standards.

Operations & Coordination

Maintains basic inventory of supplies and event materials.
Coordinates with facilities, security, and vendors.
Tracks space usage, guest feedback, and activation metrics to support continuous improvement.
Assists with administrative tasks related to space reservations, calendars, and reporting.

QUALIFICATIONS

Proven experience in hospitality, customer service, events, community engagement, or front-of-house roles.
Possesses exceptional interpersonal and communication skills; comfortable interacting with diverse audiences.
Highly organized with the ability to multitask and adapt in a fast-paced environment.
Proficient with Microsoft Office Suite, Airtable and basic technology platforms (for calendar scheduling, event tools, and providing light A/V support).
Alignment with public media values, including equity, accessibility, and community service.

Preferred Qualifications

Experience working in cultural institutions, media organizations, libraries, museums, or nonprofit spaces.
Event support or space management experience.
Familiarity with accessibility best practices and inclusive guest experiences.
