Job Overview

We are seeking a dynamic and highly organized Administrative Aide to join our team! Responsibilities

Greet visitors and manage front desk duties with professionalism and warmth
Operate multi-line phone systems, direct calls accurately, and handle inquiries efficiently
Maintain organized filing systems, including digital data entry and document proofreading
Manage calendar appointments, schedule meetings, and coordinate events seamlessly
Handle bookkeeping tasks using QuickBooks or similar accounting software
Support office management by overseeing supply inventories and maintaining equipment functionality
Assist with client communication, ensuring timely follow-up and excellent customer support
Protect confidential information with discretion and adhere to privacy policies
Perform clerical duties such as typing correspondence, data entry, and filing documents
Provide general administrative support to team members as needed to ensure smooth operations

Experience

Prior office experience in administrative or clerical roles is highly preferred
Some QSR experience (Burger King Experience preferred)
Demonstrated proficiency with Microsoft Office Suite (Word, Excel, Outlook) and computer literacy skills
Experience with bookkeeping software such as QuickBooks is a plus
Bilingual abilities are desirable to assist diverse client needs effectively
Strong organizational skills with the ability to prioritize tasks efficiently in a busy environment
Excellent phone etiquette and communication skills for professional client interactions
Personal assistant or office management experience will be considered an asset
Proven ability to handle confidential information responsibly while maintaining accuracy in data entry and recordkeeping
