## About the Organization
We are a statewide professional society representing physicians in a surgical subspecialty across Kentucky. Our members are practicing physicians and surgeons in private practice, hospital systems, and academic settings. The Society advances the profession through continuing medical education, an annual scientific meeting, member advocacy at the state level, and coordination with national specialty organizations.
The Society is governed by a volunteer physician Board of Directors. The Executive Director is our sole staff position and the operational center of the organization.
## Position Summary
We are seeking an Executive Director to manage the day-to-day operations of the Society and serve as the primary point of contact for members, exhibitors, vendors, and partner organizations. This is a part-time role performed largely remotely, with periodic travel within Kentucky for board meetings and the annual meeting.
The ideal candidate is a self-directed administrator who can run a small organization independently — someone comfortable owning everything from membership records to event logistics to board correspondence, without a support staff.
## Key Responsibilities
**Governance and Board Support**
- Serve as primary staff liaison to the Board of Directors and Society officers
- Schedule and coordinate board meetings; prepare agendas, materials, and minutes
- Track and support execution of board decisions and strategic priorities
- Maintain organizational records, bylaws, and corporate filings
**Membership**
- Maintain the membership database and handle recruitment, renewals, and retention
- Respond to member inquiries and serve as the Society's front-line contact
- Support committee activity and volunteer engagement
**Annual Meeting and Continuing Education**
- Plan and execute the Society's annual scientific meeting, including venue coordination, registration, catering, and on-site management
- Coordinate speaker logistics, agendas, and program materials
- Support continuing medical education accreditation requirements and documentation
**Sponsorship and Exhibitor Relations**
- Recruit and manage industry exhibitors and sponsors
- Develop and distribute exhibitor prospectus materials; manage sponsor agreements and fulfillment
- Serve as the primary point of contact for industry partners
**Finance and Administration**
- Manage accounts payable and receivable, dues billing, and meeting revenue
- Work with the Treasurer on budgeting, financial reporting, and annual filings
- Coordinate with the Society's accountant and any outside vendors
**Communications and Advocacy**
- Produce member communications, newsletters, and website updates
- Monitor state legislative and regulatory activity relevant to the specialty and keep the Board informed
- Maintain relationships with allied state and national organizations
## Qualifications
**Required**
- Demonstrated ability to work independently and manage competing priorities with minimal supervision
- Proficiency with standard office software, membership or CRM databases, and virtual meeting platforms
- Ability to travel within Kentucky several times per year, including occasional weekends for the annual meeting
- Reliable home office setup and internet connection
**Preferred**
- Experience working with a volunteer board of directors
- Background in healthcare, medical societies, or physician-facing organizations
- Familiarity with continuing medical education (CME) accreditation processes
- Experience with sponsorship or exhibitor sales
- Bookkeeping or basic nonprofit financial management experience
## Compensation and Schedule
- $40,000–$60,000 annually, depending on experience
- Part-time, approximately 20–30 hours per week
- Primarily remote, with flexible scheduling around board meetings, member needs, and the annual meeting cycle
- Occasional in-state travel required; travel expenses reimbursed
