Trust Onboarding Specialist

Commonwealth Community Trust (CCT) is a growing nonprofit organization that administers pooled special needs trusts for people who are vulnerable or have a disability. As a member of the Trust Onboarding team, the Trust Onboarding Specialist is responsible for providing customer service to prospective clients and new clients. The Trust Onboarding Specialist will assist in all aspects of the onboarding process.

This position requires effective communication, strong interpersonal, critical thinking, and problem-solving skills, and excellent time management skills including the ability to manage multiple tasks concurrently. The Trust Onboarding Specialist serves as a primary point of contact for prospective clients.

Reports directly to the Director of Trust Onboarding.

A Full-Time, Exempt position. (Business hours are Monday – Friday, 9am-5pm)

Essential Responsibilities

Serve as a primary contact for a caseload of prospective families to provide information on establishing a trust including, but not limited to, phone conversations, web meetings, emails, intake entries, and informational mailings.
Perform onboarding tasks, including, but not limited to, preparing letters for prospective clients and new clients, entering information into the database, handling intake-related inquiries (i.e., how to make out checks, disbursement questions), initiating check in calls, and assisting in obtaining missing information.
Collaborate as a member of the Trust Onboarding Committee and attend meetings to discuss questions and action items, review Joinder agreements, and assess progress with trustee and internal projects.
Support and contribute to ongoing Trust Onboarding projects, including the review and refinement of checklists, procedures, and letter templates to enhance the client onboarding experience.
Maintain client data and files digitally: add or update information in the organization’s database for clients and professionals and maintain documents and correspondences in paperless document management system.
Track and monitor the status of active onboarding cases, maintain accurate progress records, and provide regular updates to the Director of Trust Onboarding to ensure timely and efficient completion of onboarding milestones.
Serve as reviewer for initial client deposits and enrollment fees associated with the establishment of new trust accounts, ensuring all transactions are reviewed for accuracy, completeness, and compliance with established fee structures and organizational standards.
Provide backup support to members of the Trust Onboarding Team, including the Trust Onboarding Specialist and Trust Onboarding Administrative Assistant, as needed, ensuring uninterrupted client service and timely follow-up on emails and mailings.
Collaborate with internal departments, including Legal, Finance, and Client Services, to facilitate a smooth and coordinated transition for new clients from onboarding to active trust management.
Perform additional projects and tasks as assigned by the Director of Trust Onboarding.

Knowledge/Skills/Abilities

Ability to communicate professionally in writing, on the telephone, and in person.
Well-organized, self-motivated, and detail oriented.
Strong time management skills with the ability to manage multiple tasks concurrently, adapt to changing priorities, and meet deadlines.
Ability to function effectively as part of a small team, working collegially and professionally.
Ability to handle and maintain confidential information.
Excellent customer service and interpersonal skills.
Strong computer skills including Microsoft Office Suite (Word, Outlook, PowerPoint), Microsoft Teams, and Monday.com.
Excellent writing skills with attention to detail for narrative text (spelling, punctuation, etc.) and the presentation of data and information.
Strong critical thinking and problem-solving skills.
Basic online research skills.

Level of Education & Work Experience

B.S./B.A. degree, 2-4 years of relevant work experience.
Minimum of 3 years of experience in trust administration, fiduciary operations, or a legal/paralegal role within a trust and estates environment is preferred.
Those with working knowledge of trust accounts and client onboarding workflows are strongly encouraged to apply
Experience using Microsoft Office, including Word, Excel, PowerPoint, and Outlook and ability to learn new software.
Any experience with the special needs community is a plus.

Salary and Benefits

The salary range for this position is $65,000 to $72,000 based on experience. CCT offers vacation and paid time off, a health benefit, short-term and long-term disability, life insurance, and a 403(b)-retirement plan. CCT is an equal opportunity employer.
