Full Job Description

Summary: The Payroll Specialist serves as the subject matter expert for all payroll operations, ensuring compliance with federal, state, and local regulations while continuously improving payroll processes and internal controls.

Essential Duties and Responsibilities:

· Manages biweekly payroll for 600+ employees and submit by the pre-established deadline for all three locations, ensuring completeness, accuracy and timeliness

· Processes and verifies employee payroll data, including paid time off (PTO), overtime, benefits deductions and employee status changes

· Reviews, prepares and approves final pay calculations while ensuring all supporting documentation is complete and compliant

· Ensures accuracy of payroll processing including hours calculations, manual check calculations, process adjustments, reimbursements, refunds, and void checks

· Reviews, analyzes, and reconciles payroll and payroll related data according to established timelines, standards, and procedures

· Manages positive pay files, payroll tax payments, garnishments, and banking information for direct deposits

· Collaborate with HR to maintain and produce accurate employee payroll records

· Ensures compliance with federal, state, and local payroll tax regulations by reviewing payroll liabilities, tax withholdings, Social Security, Medicare, unemployment taxes, and wage garnishments

· Monitors changes in payroll legislations for all applicable state and federal wage and hour and related laws, enforcing adherence to such laws and requirements, and advising management on needed actions

· Partners with accounting to streamline payroll processes, ensure data integrity, and support organizational objectives

· Maintains payroll guidelines by documenting procedures on payroll processing, one-time manual checks, and 401k audit procedures

· Manages and provides support for tax filings, quarterly and year-end processes, such as 940/941 reports, Form 5500 benefit filing for 401k, gross payroll, hours worked, vacation accrual, tax deductions, benefit deductions, etc.

· Prepares payroll information for audits and timely and accurate payroll reports for senior management

· Stays current on payroll systems, benefits and other related programs to ensure effective accounting support

· Maintains the confidentiality of employee records and payroll information while adhering to HIPAA and company privacy standards

· Provides payroll support to employees and answers all such questions and written requests

· Qualifications/Education/Experience:

· Bachelor's Degree (preferred)

· Significant depth of payroll processing experience, 8+ years preferred

· Expertise with payroll/HRIS systems, Dayforce experience preferred

· Extremely knowledgeable of federal, state, and local wage and hour laws, meal & rest period laws and all regulatory/compliance laws pertaining to payroll processing

· Experience working with payroll account reconciliations and analysis

· Intermediate to Advanced Excel Skills

· Excellent attention to detail

· Effectively prioritize and multi-task to complete work and meet deadlines

· Have strong problem-solving skills

· Process improvement and streamlining work cross-functionally
