Paralegal/Legal Assistant (Transactional) & Tax Preparation Assistant

Summary and Purpose

Join a busy, productive, and successful transactional team of attorneys and support staff. This position will assist multiple attorneys and staff with all aspects of transactional legal matters while also providing administrative and tax preparation support to the firm’s tax and accounting professionals.

The ideal candidate is highly organized, detail-oriented, and able to manage multiple priorities in a fast-paced professional environment. This position provides an opportunity to work directly with attorneys, clients, and tax professionals on a variety of legal, business, and tax-related matters.

Essential Duties and Responsibilities

Transactional Legal Support

· Assist transactional attorneys with matters pertaining to real estate transactions, municipal consulting, business formation, and estate planning.

· Draft, format, and proofread documents related to transactional matters and assist with preparation of complex agreements and correspondence.

· Organize, maintain, and manage client and matter documents in the practice management software.

· Prepare and maintain closing documents, transaction checklists, and other supporting documentation.

· Conduct basic research and assist attorneys with gathering information and documentation necessary for client matters.

· Communicate frequently with clients by telephone and email and provide professional and responsive client service.

· Manage and protect attorney calendars, schedule appointments and client meetings, and assist with coordinating deadlines.

· Assist with other attorneys', paralegals', and office staff's work as necessary and as matters demand.

Tax Preparation and Accounting Support

· Assist with the preparation and assembly of individual, business, fiduciary, and other tax returns.

Prepare payroll tax returns and related filings, as directed.

· Prepare and organize supporting documentation and workpapers for tax return preparation.

· Assist with preparation and filing of Forms 1099 and other applicable information returns.

· Communicate with clients regarding tax documents, missing information, and filing requirements.

· Assist with electronic filing of tax returns and related tax documents.

· Maintain organized and accurate tax files and records in accordance with firm procedures.

Skills and Qualifications

· Certificate of completion from an ABA-approved paralegal certification program, an associate degree in paralegal studies, accounting, or a related field, or sufficient relevant legal, tax, accounting, or administrative experience.

· Previous experience with tax preparation, payroll tax filings, 1099 preparation, accounting, or legal support is preferred.

· Proficient with Microsoft Office, specifically Outlook, Word, and Excel.

· Experience with tax preparation, accounting, document management, or practice management software is a plus.

· Strong attention to detail and commitment to accuracy.

· Excellent organizational and time-management skills.

· Ability to juggle multiple tasks, prioritize work, and meet deadlines.

· Strong oral and written communication skills.

· Ability to maintain confidentiality and exercise discretion when handling sensitive client, financial, legal, and tax information.

· Ability to work independently while also functioning effectively as part of a team.

· Professional demeanor and strong client-service skills.

· Willingness and ability to learn new software, procedures, and areas of practice.

Work Environment

This position is part of a collaborative legal and professional services team and involves regular interaction with attorneys, paralegals, tax professionals, clients, and other staff. The successful candidate will be someone who enjoys a varied workload and is comfortable transitioning between legal, tax, administrative, and client-service responsibilities.
