Job Summary:

The Administrative Clerk – Billing & Internal Audits is responsible for supporting the organization's billing, invoicing, document control, and internal audit activities. This position ensures the accurate processing of customer invoices, maintains financial and administrative records, assists with compliance reviews, and supports internal controls designed to protect company assets and ensure operational efficiency. The Administrative Clerk works closely with Operations, Shipping, Purchasing, and Management to ensure billing accuracy, timely reporting, and compliance with company policies and procedures.

Sedentary work involves sitting most of the time. Jobs are sedentary if walking and standing are required only occasionally, and all other sedentary criteria are met. Job Function:

Billing Administration
Generate, review, and process customer invoices accurately and timely.
Verify billing information against sales orders, shipping documents, purchase orders, and customer contracts.
Investigate and resolve billing discrepancies by coordinating with internal departments.
Maintain billing records and supporting documentation in accordance with company retention requirements.
Assist with customer account inquiries regarding invoices, credits, debit memos, and payment issues.
Process adjustments, credits, and corrections with appropriate approvals.
Monitor billing transactions to ensure completeness and accuracy.
Prepare recurring reports related to invoicing, sales activity, and billing status.
Internal Audit Support
Conduct routine audits of billing, inventory, shipping, receiving, purchasing, and administrative records.
Review documentation to verify compliance with company policies, procedures, and internal controls.
Identify discrepancies, missing documentation, or process gaps and report findings to management.
Assist in developing corrective action plans and tracking audit findings to resolution.
Maintain audit logs, reports, and documentation supporting audit activities.
Monitor adherence to approval processes, authorization requirements, and document control procedures.
Support external audits by gathering requested documentation and records.
Administrative Responsibilities
Maintain organized electronic and physical filing systems.
Prepare reports, spreadsheets, correspondence, and presentations as requested.
Enter and update information in ERP, accounting, and document management systems.
Assist with month-end and year-end administrative activities.
Handle confidential financial and employee information with discretion.
Provide clerical support to management and other departments as required.
Answer telephone calls, respond to emails, and assist internal and external customers professionally.

Required Skills:

High school diploma or GED required.
Minimum two (2) years of administrative, accounting, billing, auditing, or related office experience.
Experience working in manufacturing or steel industry environment is a plus.
Strong attention to detail and accuracy.
Basic math and data entry skills.
Ability to multitask and manage competing priorities.
Strong organizational and problem-solving skills.
Effective communication skills (verbal and written).
Ability to work independently and as part of a team.

Compensation Range: The anticipated compensation for this position is USD $23.00/Hr. - USD $27.00/Hr. depending on experience, qualifications, and location.
