Full Job Description

Position Summary:

The Accounts Receivable Specialist will be responsible for managing the nonprofit's incoming payments and maintaining accurate financial records. The position involves processing donations, grants, and other receivables, ensuring the integrity and timeliness of financial transactions. The ideal candidate will have a strong attention to detail, a commitment to accuracy, and an understanding of nonprofit accounting principles.

Key Responsibilities:

Process Incoming Payments: Receive, record, and process payments from donors, grants, clients, and other funding sources.
Invoice Creation: Prepare and send invoices to clients, government agencies, or other payers as required.
Account Reconciliation: Reconcile accounts receivable transactions, ensuring that all payments are applied correctly and promptly.
Record Keeping: Maintain accurate and up-to-date records of all receivables, donations, and financial transactions in the organization's accounting system.
Grant Reporting: Assist with tracking and reporting on grant payments, ensuring compliance with grant agreements.
Collaborate with Development Team: Work closely with the fundraising and development team to track and report on donations and grants.
Resolve Payment Issues: Address and resolve any payment discrepancies or issues by communicating with donors, clients, or payers.
Prepare Reports: Generate reports related to accounts receivable, including aging reports, donation tracking, productivity tracking and other financial data as needed for management or audits.
Maintain Compliance: Ensure all financial activities comply with nonprofit accounting standards, state and federal regulations, and the organization's policies.
Customer Service: Provide excellent customer service to donors and clients, answering questions and providing assistance with billing inquiries.

Qualifications: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. High school diploma or equivalent required; associate’s degree in accounting, Finance, or a related field preferred.
Minimum of 2 years of experience in accounts receivable, preferably in a nonprofit environment.
Strong knowledge of accounting principles, especially in nonprofit finance.
Proficiency in Microsoft Office Suite (Excel, Word) and accounting software (Quick Books or similar software).
Attention to detail, strong organizational skills, and the ability to multitask.
Excellent verbal and written communication skills.
Ability to work both independently and as part of a team.
Knowledge of nonprofit regulations and financial reporting is a plus.
