Full Job Description

Job Summary
We are seeking a detail-oriented and organized Administrative Coordinator to join our team. The ideal candidate will provide comprehensive support to ensure efficient operation of the offices. You will be responsible for a variety of administrative tasks, including managing schedules, handling communications, and maintaining office organization. A strong customer service orientation and proficiency in office software are essential for success in this role.

Duties

Manage and maintain executive calendars, including scheduling appointments and meetings.
Serve as a point of contact for Practice Management, Human Resources and additional leadership team members, providing exceptional customer service.
Handle phone systems efficiently, directing calls and taking messages as necessary.
Assist with proofreading documents to ensure accuracy and professionalism.
Utilize Google Suite for document creation, data entry, and spreadsheet management.
Provide clerical support including filing, data entry, and maintaining office supplies.
Collaborate with team members to improve processes and enhance office efficiency.
Offer staff support by addressing inquiries and resolving issues promptly.

Requirements

Proficiency in Spanish is preferred but not required.
Previous experience in customer service or administrative roles is highly desirable.
Familiarity with medical receptionist duties is a plus.
Strong knowledge of phone systems and office equipment.
Excellent proofreading skills with attention to detail.
Proficient in Google Suite applications (Docs, Sheets, Drive).
Proficient in Adobe
Ability to manage multiple tasks while maintaining a high level of organization.
Strong communication skills, both verbal and written.
Experience with calendar management is essential.
Travel to various clinic locations as needed.
