Multi-Business Administrative Support

We are looking for a highly organized, dependable, and motivated Administrative & Operations Coordinator to provide administrative and back-office support across several business operations, including restaurant operations, group homes/community services, and mortgage/loan processing.

This is a fast-paced, multi-faceted position for someone who is comfortable handling different types of responsibilities throughout the day. The ideal candidate is a strong multitasker, detail-oriented, computer savvy, professional, and able to prioritize assignments with minimal supervision.

Key ResponsibilitiesGeneral Administrative Support

Provide day-to-day administrative and clerical support
Manage emails, documents, electronic files, spreadsheets, and correspondence
Prepare letters, forms, reports, and other business documents
Maintain organized digital and physical records
Track deadlines, follow-ups, outstanding items, and appointments
Communicate professionally with vendors, employees, clients, and business partners
Assist management with various projects and daily operational needs

Restaurant Back-Office Administration (Main Role)

Assist with purchasing and ordering restaurant supplies
Communicate with vendors and track orders
Assist with accounts payable and accounts receivable
Organize invoices, receipts, statements, and vendor records
Assist with employee onboarding and maintaining employee files
Help maintain schedules, timekeeping records, and other employee documentation
Assist with inventory and purchasing records
Prepare internal notices, forms, checklists, and other restaurant documents
Assist with social media content, promotions, and maintaining the restaurant's online presence
Help ensure administrative tasks are completed accurately and on time

Group Home / Community Services Administration (Minor Role)

Provide administrative support for group home/community service operations
Organize employee and facility documentation
Assist with employee onboarding paperwork
Maintain files, forms, training records, and required documentation
Track deadlines, renewals, certifications, and outstanding documents
Assist management with licensing and compliance-related administrative tasks
Maintain confidentiality when handling employee, resident, and business information

Mortgage / Loan Processing Administrative Support (Minor Role)

Assist with organizing borrower and loan documentation
Request and follow up on outstanding documents
Maintain organized electronic loan files
Assist with emails and communication with borrowers, escrow, title, insurance, real estate agents, lenders, and other parties
Track loan conditions and outstanding items
Assist with preparing and organizing documents for processing and underwriting
Handle confidential financial and personal information professionally

Social Media & Marketing Support (Main Role)

Assist with creating and scheduling social media posts
Help maintain business social media accounts
Assist with promotions, flyers, announcements, and marketing materials
Respond to or route online inquiries as directed
Help keep business information and promotions current across online platforms

Qualifications

Has experience with Microsoft Word, Excel, Google Docs/Sheets, email, PDFs, and online business platforms
Can prioritize urgent assignments while keeping up with routine responsibilities
Is willing to learn and take on additional responsibilities as needed

Preferred Experience

Experience in one or more of the following is a plus:

Administrative or executive assistance
Restaurant back-office operations
Accounts payable/accounts receivable
Purchasing or vendor management
Employee onboarding/HR administration
Social media management
Group homes, residential care, or community services
Mortgage, escrow, real estate, or loan processing

Mortgage experience is helpful but not required for the right candidate who is organized and willing to learn.

Who We're Looking For

This position is best suited for someone who enjoys variety and understands that no two days will necessarily look the same. You may be working on restaurant invoices and purchasing in the morning, employee onboarding or group-home paperwork later in the day, and assisting with loan documents or follow-ups afterward.

We need someone who can stay organized, manage multiple priorities, meet deadlines, communicate effectively, and follow a task through to completion.

Most importantly, we are looking for someone who is trustworthy, resourceful, dependable, professional, and willing to learn.
