Safety Specialist – Warehouse & Office Operations

Location: Ontario, CA

Department: General Safety-Warehouse / Office / Safety

Position Summary

The Safety Specialist – Warehouse & Office Operations is responsible for the daily execution, administration, and continuous improvement of the company's safety programs across all non-fleet areas of the business, including warehouse, distribution, office, and facility environments. This role serves as the subject matter expert for workplace safety, ergonomics, hazard identification, and regulatory compliance outside of the transportation fleet.

The successful candidate will translate safety policies and regulatory requirements into effective day-to-day practices by conducting safety audits, analyzing incident and near-miss data, coaching employees and supervisors, and implementing proactive solutions to reduce workplace injuries and improve overall safety performance.

This position works in close partnership with the Fleet Safety Specialist. The two roles are expected to cross-train on one another's responsibilities so that each can provide backup coverage, share best practices, and ensure a consistent, unified safety program across the entire organization.

Essential Responsibilities

Warehouse & Facility Safety & Compliance

Administer and enforce company safety policies, procedures, and best practices across warehouse, distribution, and office locations.
Ensure compliance with OSHA and other applicable federal, state, and local safety regulations.
Monitor employee safety training records, certifications, and compliance documentation.
Support internal safety audits and insurance/regulatory inspections by preparing documentation, reports, and corrective action plans.
Conduct routine facility, equipment, and workstation safety audits to identify hazards and opportunities for improvement.

Employee Training & Coaching

Train, coach, and mentor new and existing employees on safe work practices, equipment operation, and company expectations.
Deliver and continuously improve safety training programs, including new hire orientation and ongoing refresher training.
Conduct field observations, workstation evaluations, and performance reviews related to safety practices.
Provide targeted coaching to employees and supervisors based on observed behaviors and incident trends.
Partner with department leaders to develop corrective actions and retraining plans when needed.

Incident Investigation & Risk Reduction

Lead investigations involving workplace injuries, near misses, and other safety-related incidents in warehouse and office environments.
Conduct root-cause analysis and recommend corrective and preventative actions.
Review incident reports and other available data to identify contributing factors and trends.
Partner with Human Resources, Loss Prevention, Operations, and other stakeholders on investigations and follow-up actions.
Participate in incident review meetings and continuous improvement initiatives.

Safety Program Management

Support the development, implementation, and improvement of company-wide safety programs.
Lead safety training sessions focused on hazard recognition, emergency response procedures, first aid, CPR, and hazardous materials handling to ensure employee preparedness.
Promote a proactive safety culture through safety meetings, new hire orientations, and ongoing communication.
Encourage Good Catch/near-miss reporting and identification of unsafe conditions.
Maintain safety documentation, including training records, inspection reports, and regulatory documentation.
Support emergency preparedness initiatives, including drills, evacuation procedures, and response planning.

Cross-Training & Partnership with Fleet Safety

Partner closely with the Fleet Safety Specialist to cross-train on transportation safety fundamentals, including DOT/FMCSA compliance basics and driver safety programs.
Provide backup support for fleet-related safety functions as needed, and vice versa.
Collaborate on shared safety initiatives, training content, and reporting to ensure consistency across all areas of the business.
Participate in joint safety meetings to align on company-wide safety priorities and share lessons learned.

Operational Support

Participate in weekly operations meetings and provide safety updates and recommendations.
Identify equipment and facility safety concerns and coordinate reporting of repairs or maintenance needs.
Ensure required PPE and safety supplies are available and properly maintained.
Provide safety documentation and performance information to support employee evaluations and performance discussions.
Collaborate with department leaders to improve safety performance across warehouse and office operations.

Qualifications

Minimum of 5 years of workplace safety, EHS, or related safety experience, ideally in a warehouse, distribution, and office environment—General Safety
Strong knowledge of OSHA regulations and general workplace compliance requirements.
Experience conducting investigations, audits, training, and safety inspections.
Ability to analyze safety data and develop practical improvement solutions.
Strong communication, coaching, documentation, and presentation skills.
Proficiency with Microsoft Office Suite and safety/risk management systems.
Willingness and ability to cross-train on fleet/transportation safety fundamentals.

Preferred Certifications:

OSHA 30 Certification
Train the Trainer certification required
Must be able to certify forklift and EPJ operators
Certified Safety Professional (CSP)
Associate in Risk Management (ARM) or similar safety credential

Key Performance Indicators

Success in this role will be measured by:

Reduction in preventable workplace injuries, incidents, and claims.
Improved employee safety performance and compliance metrics.
Completion of required training, audits, and corrective actions.
Positive results from regulatory and insurance audits.
Increased employee engagement and awareness of safety practices.
Successful cross-training milestones with the Fleet Safety Specialist.

Work Environment

This is an on-site position requiring regular visibility in both office and warehouse/facility environments. The role requires interaction with employees, operations teams, and leadership across multiple departments. Occasional travel may be required for site visits, training, audits, and safety-related meetings, including periodic time spent with the Transportation team as part of cross-training.
